Job Description

Roles and Responsibilities of an IT Administrator and HR Software


Windows OS Support , MS Office 365, HR Software and MS Projects

Configuration and Deployment


  • System Configuration: Assist with the configuration of Windows settings, user accounts, and network connectivity.

  • Deployment Support: Support the deployment of Windows operating systems and applications across different devices.

  • System Installation and Configuration
    • Install, configure, and maintain hardware and software systems, including servers, workstations, and networking equipment.
    • Set up and configure operating systems (Windows, macOS) and applications to ensure optimal performance.

OneDrive Responsibilities:

OneDrive is primarily used for personal file storage and sharing within an organization.

  1. User Account Management:
    • Set up and manage user accounts for OneDrive, ensuring proper permissions and access are granted based on role and department.
    • Assign adequate storage quotas and monitor usage to ensure users are within limits.
  2. Access & Permissions Management:
    • Ensure appropriate sharing permissions are in place for files and folders stored on OneDrive, both internally and externally.
    • Maintain strict control over who can share files, set expiration dates on links, and manage sharing settings to prevent unauthorized access.

  1. Data Backup & Recovery:
    • Regularly back up OneDrive data to prevent data loss.
    • Assist users in recovering files from previous versions or from the Recycle Bin if necessary.
  2. Collaboration & Syncing: OFFICE 365 with ONE Drive
    • Ensure that OneDrive is synced across multiple devices (PCs, tablets, and phones) and that files can be accessed offline.
    • Train employees on how to use OneDrive for personal file storage and collaboration, helping them take advantage of features like file sharing, versioning, and collaborative editing.
  3. Troubleshooting & Support:
    • Provide support to users for issues related to syncing, file access, and troubleshooting any OneDrive-related errors or outages.
    • Diagnose and fix syncing or storage-related issues across devices and platforms.
  4. Policy Enforcement:
    • Implement organization-wide policies for file storage, including retention periods, shared file policies, and usage guidelines.
    • Monitor usage and compliance with the organizations file storage policies.
    • User Management
    • Create, manage, and disable user accounts and permissions across various systems and applications.
    • Provide technical support to end-users, resolving issues related to hardware, software, and network access.

Security Management

    • Implement and maintain security measures to protect IT infrastructure from threats, including firewalls, antivirus software, and encryption protocols.
    • Regularly update security policies and perform audits to ensure compliance with organizational and regulatory standards.
  1. Project Management
    • Lead or participate in IT projects, including system upgrades, migrations, and new technology implementations.
    • Coordinate with vendors, contractors, and internal teams to ensure successful project delivery.
  2. Troubleshooting and Problem Resolution
    • Diagnose and resolve hardware, software, and network issues in a timely manner.
    • Utilize diagnostic tools and techniques to identify root causes and implement effective solutions.
  3. Compliance and Best Practices
    • Ensure that IT practices align with organizational policies and industry best practices.
    • Stay updated with technological advancements and industry trends to recommend improvements.
  4. Training and Support
    • Provide training and guidance to end-users on IT systems and software applications.
    • Develop user manuals and help guides to facilitate self-service support.

Additional Skills and Qualities

  • Communication Skills: Ability to convey technical information clearly to non-technical users.

  • Project Management: Experience in managing IT projects and coordinating with cross-functional teams.

  • Attention to Detail: Meticulous in configuring systems and performing maintenance tasks to prevent errors.

  • Problem-Solving: Strong analytical skills to troubleshoot and resolve complex technical issues.

Meeting Scheduling Responsibilities in an IT Department:

  1. Coordinating Meetings for IT Projects:
    • Schedule and organize regular project status meetings with project managers, developers, and stakeholders.
    • Ensure that meetings align with project timelines, deadlines, and team availability.
    • Maintain an up-to-date calendar for all project-related discussions, including sprint planning and retrospectives (if following agile methodologies).
  2. Team Collaboration & Check-ins:
    • Organize daily or weekly stand-up meetings for the IT team to review tasks, identify roadblocks, and set priorities.
    • Ensure that team members are informed and available for these regular check-ins to discuss progress and challenges.
  3. or Client Meetings:
    • Schedule meetings with external vendors, partners, or clients regarding system implementations, software upgrades, or hardware procurement.
    • Coordinate with relevant stakeholders to ensure that meetings are scheduled at convenient times and that agendas are prepared.
  4. Training & Knowledge Sharing Sessions:
    • Organize internal training or workshops for IT staff on new technologies, best practices, or software tools.
    • Schedule knowledge-sharing sessions to ensure that the IT team remains up-to-date with industry standards and skills.

Implementation & Integration:

  • System Selection: Collaborate with HR leadership to select HR software tools that align with business goals and HR strategies (e.g., payroll, performance management, applicant tracking).
  • Implementation: Oversee or assist with the deployment and setup of new HR software systems. This includes system configuration, customization, and testing before going live.
  • System Integration: Ensure that HR software integrates with other business systems (e.g., payroll, finance, employee records, and benefits systems) for seamless data flow.

2. System Maintenance & Updates:

  • Ongoing Maintenance: Regularly monitor, troubleshoot, and ensure that HR software is working as intended across the organization. Resolve any technical issues or glitches.
  • Software Updates & Upgrades: Oversee updates, patches, and upgrades for HR software to ensure they meet current business needs, comply with legal requirements, and remain secure.
  • Version Control: Ensure that users are on the correct version of the software, especially after updates or new releases.

Project Planning & Scheduling:

  • Task Creation & Scheduling: Use MS Project to create detailed project plans, breaking down the project into tasks, sub-tasks, and milestones. Set start and finish dates for each task, considering dependencies.
  • Timeline Management: Develop project timelines and Gantt charts that visualize the schedule and track project progress. Ensure the timelines are realistic and achievable.
  • Resource Allocation: Assign resources (e.g., personnel, equipment, materials) to tasks and ensure that resources are appropriately utilized throughout the project.
  • Critical Path Management: Identify the critical path within the project to ensure timely delivery. Adjust task sequences as needed to maintain project deadlines.
