Job Description

Overview

The Senior Executive/Assistant Manager plays a crucial role in supporting the management team in driving operational excellence and enhancing overall organizational effectiveness. This role is pivotal in ensuring that projects align with company objectives and are executed efficiently. The Senior Executive/Assistant Manager acts as a liaison between various departments, facilitating communication and collaboration to achieve strategic goals. The ideal candidate will contribute to the development and implementation of innovative strategies that optimize productivity and improve service delivery. With a focus on achieving results and fostering a positive work environment, this position is vital for helping the organization navigate challenges and seize growth opportunities. Key Responsibilities
  1. Coordinate daily operations to ensure efficiency and productivity.
  2. Documentation Management: Review and authorize master and controlled documents to ensure alignment with quality standards and regulatory requirements.
  3. Quality Review Process: Conduct comprehensive reviews of complaints, change controls, Out of Specification (OOS) reports, risk assessments, and deviations, and initiate investigations, including Corrective and Preventive Actions (CAPA).
  4. Documentation and SOPs: Review and approve critical quality documents, including Standard Operating Procedures (SOPs), Batch Manufacturing Records (BMRs), Batch Packing Records (BPRs), Annual Product Quality Reviews (APQRs), Quality Risk Management (QRM) documentation, Site Master Files, Validation Master Plans, and the Quality Manual.
  5. Qualification and Validation Oversight: Approve quality-related documents, such as qualifications, validations, change controls, and APQRs, to uphold quality assurance standards.
  6. Internal Audits: Conduct and coordinate internal quality audits to ensure compliance and foster continuous improvement.
  7. Training and Development: Organize and conduct training sessions for staff on key quality topics to enhance awareness and compliance with quality standards.
  8. External Audit Support: Assist in external quality audits to ensure adherence to all regulatory requirements.
  9. Technical Support: Provide technical support and guidance to marketing teams and customers on quality-related matters.
  10. Assist senior management in strategic planning and decision-making.
  11. Supervise team members, offering guidance and performance evaluations.
  12. Manage project timelines and allocate resources effectively.
  13. Prepare and present regular reports on project status and departmental performance.
  14. Develop and implement operational policies to streamline processes.
  15. Foster a positive team culture and encourage professional growth.
  16. Conduct market research to identify opportunities for improvement.
  17. Collaborate with other departments to achieve organizational goals.
  18. Manage budgets and allocate funds to various projects.
  19. Identify risks and develop mitigation strategies.
  20. Ensure compliance with company policies and industry regulations.
  21. Participate in recruitment and onboarding processes.
  22. Assist in the development of training programs for staff.
  23. Communicate with stakeholders to manage expectations and deliverables.
Required Qualifications
  • Master degree in business administration, management, or related field.
  • 3-5 years of experience in a similar position.
  • Proven track record of managing teams effectively.
  • Strong understanding of project management methodologies.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite and project management software.
  • Ability to analyze data and make informed decisions.
  • Experience in budgeting and financial management.
  • Strong organizational and multitasking skills.
  • Experience in conducting market research and analysis.
  • Demonstrated leadership abilities and team-building skills.
  • Knowledge of industry trends and best practices.

  • Strong interpersonal skills and ability to work collaboratively.
  • Professional certifications in management or project management are a plus.
