Designation: AM - Transition & MIS

Qualification: Any Graduates

Job Description : Should be good at BPO Transition & should have basic knowledge in advanced Excel to manage MIS team.


Role Overview:

As a Transition Manager, you will spearhead the strategic planning, execution, and management of transitions within our BPO operations. You'll play a pivotal role in ensuring seamless and successful transitions, guaranteeing the delivery of high-quality services to our clients while maintaining operational efficiency.


Key Responsibilities:

Transition Strategy and Planning:

  • Develop and implement robust transition strategies and plans for new process onboarding or process transfers.
  • Define clear objectives, timelines, resource requirements, and success criteria for each transition project.
  • Establish organized Ways of working through structured Governance Model and Escalation Matrix.

Stakeholder Engagement and Management:

  • Collaborate closely with cross-functional teams including Operations, HR, Training, IT, and Client Servicing to align transition goals and strategies.
  • Serve as the primary liaison between the company and clients, ensuring open communication, addressing concerns, and providing regular updates on transition progress.
  • Establish Robust Project plan, clearly specifying various tollgates, tasks, planned/actual start and closure date, responsibility and completion status.

Process Evaluation and Optimization:

  • Conduct comprehensive assessments of existing processes slated for transition, identifying inefficiencies and areas for improvement.
  • Lead process optimization initiatives in coordination with relevant teams to enhance effectiveness and efficiency post-transition.

Risk Assessment and Mitigation:

  • Identify potential risks and challenges associated with transitions and develop proactive mitigation plans.
  • Effectively manage and resolve issues that arise during the transition phase, minimizing disruptions to operations.

Documentation, Reporting, and Quality Assurance:

  • Maintain accurate documentation of transition plans, processes, and outcomes for reference and auditing purposes.
  • Generate detailed reports, performance metrics, and post-transition evaluations, ensuring alignment with quality standards and client expectations.

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field
  • Proven track record (2+ years) in transition management within the BPO industry, demonstrating successful project execution.

Technical Skills:

  • MS Project: Proficiency in creating and maintaining detailed project plans. Reporting using fundamental MS Project functionalities.
  • MS Visio: Ability to develop and maintain process maps to visualize and streamline workflows.
  • MS Excel: Skill in crafting and managing comprehensive project plans including tollgates, milestones, planned/actual dates, responsibility assignments, and tracking completion status.
  • MS PowerPoint: Conducting governance meetings and delivering updates aligned with the expectations of diverse stakeholders.

Project Specific Skills:

  • Project Management Expertise: Independently manage end-to-end transition projects within allocated budgets and timelines.
  • Project Scoping and Collaboration: Collaborate with Sales and Account Management to define scopes for new/existing business processes.
  • Adaptability to Customer Needs: Understand customer risk/change preferences and customize transition models/solutions accordingly.
  • Stakeholder Management: Set and manage expectations with internal and client stakeholders, ensuring transparency and zero surprises.
  • Cross-Functional Collaboration: Engage with various internal and client departments for project planning, aligning everyone towards the project vision and common objectives.
  • Ownership and Task Follow-up: Take ownership of tasks and ensure timely completion through effective follow-ups.
  • Analytical and Problem-Solving Skills: Analyze complex situations, identify issues, and devise effective solutions.

MIS


Roles and Responsibilities


1. Mandate to have experience with MIS & BI tools and systems.

2. Must have >2 year of experience in data-specific roles.

3. Grip over data analytics

4. To have good hands on data experience.

5. Good at Power BI & Excel reports

6. Good communication skills
7. Minimum 1 to 1.5 year experience in transition and MIS functions
8. Relevant knowledge of the domain and tools
9. Certifications in power BI and other relevant tools
10. Should be able to handle clients and stakeholders
11. Team management skills


Job Description


1. Minimum 2 years experience in relevant profile
2.Monitoring performance, productivity report and share feedback to help improve performance
over time
3.Ensure the reports are accurate and sent in timely manner
4.Provide recommendations to update current MIS to improve reporting efficiency and
consistency

5.Identify process improvements for increasing business efficiency and effectiveness
6.Strong leadership abilities and good time management skills

7. Knowledge on BPO sector operations and reports, WFM or MIS relevancy

8. Power BI Report development.

9. Analyzing client and internal needs and serve the model.

10. Developing visual reports, KPI scorecards, and dashboards using Power BI.

11. Good communication skills must be able to discuss the requirements effectively with the client teams, and with internal teams.

14. Manpower calculations and reporting
15. Invoicing
16. Analytics and dashboard building
17.Automation and reducing human interventions
