Job Description: Expeditor (Substation + Transmission Line)

Job Overview:

The Expeditor is responsible for ensuring the timely delivery of materials, equipment, and services for substation and transmission line projects. This role requires close collaboration with suppliers, project managers, and logistics teams to prevent delays and ensure project schedules are met. The Expeditor plays a critical role in maintaining project timelines, ensuring quality compliance, and minimizing cost impacts associated with procurement delays.

Key Responsibilities:

1. Procurement & Delivery Coordination:
• Monitor and expedite the procurement of equipment, materials, and services for substation and transmission line projects.
• Track purchase orders, follow up with suppliers, and ensure timely shipment and delivery.
• Coordinate with internal stakeholders to align procurement schedules with project milestones.
2. Vendor Management:
• Maintain regular communication with vendors to resolve potential delays or issues in supply chains.
• Assess and report vendor performance concerning quality, delivery schedules, and responsiveness.
• Work closely with vendors to ensure compliance with technical specifications and project requirements.
3. Logistics Coordination:
• Collaborate with logistics teams to ensure the safe and efficient transportation of materials to project sites.
• Address transportation and customs clearance challenges, ensuring adherence to local regulations.
• Update project teams on shipment statuses and expected delivery timelines.
4. Documentation & Reporting:
• Maintain accurate records of purchase orders, delivery schedules, and supplier correspondence.
• Generate and present reports on procurement status, potential delays, and mitigation plans.
• Ensure all required documentation (e.g., invoices, packing lists, customs documents) is complete and accurate.
5. Stakeholder Collaboration:
• Work closely with project managers, engineers, and quality assurance teams to ensure materials meet required standards.
• Participate in project review meetings to provide updates on material status.
• Communicate and resolve issues related to lead times, shortages, or defects in materials.

Qualifications & Requirements:

• Education:
• Bachelors degree in supply chain management, Engineering, Business Administration, or a related field.
• Experience:
• Minimum 515 years of experience in expediting or procurement within the power transmission or construction industry.
• Hands-on experience with substation and transmission line projects is highly preferred.
• Skills & Competencies:
• Strong knowledge of procurement and logistics processes.
• Familiarity with technical specifications for electrical equipment, transmission lines, and substations.
• Proficiency in ERP systems and Microsoft Office Suite.
• Excellent organizational and multitasking skills.
• Strong problem-solving abilities and attention to detail.
• Effective communication and negotiation skills.
• Certifications:
• Certification in Supply Chain Management (e.g., APICS, CIPS) is an advantage.
• Other Requirements:
• Willingness to travel to supplier locations, project sites, and warehouses as required.
• Familiarity with local and international shipping regulations.

Work Environment:

The position involves working in an office environment with occasional travel to supplier facilities, warehouses, and project sites. The Expeditor must be adaptable to working under pressure in a fast-paced project-oriented setting.
