Job Description
1. Invoice Processing 6. Expense Report Management
- Review, verify, and process invoices received from vendors.
- Ensure that all invoices are matched with purchase orders and goods receipt notes (GRNs), ensuring accuracy in amounts and descriptions.
- Enter invoice details into the company s accounting system or ERP software.
- Prepare payment runs (manual or electronic) to suppliers/vendors based on payment terms and available cash flow.
- Ensure all payments are made within agreed-upon terms to maintain good relationships with suppliers and avoid late payment penalties.
- Handle all payment methods, including cheques, bank transfers, and electronic payments.
- Reconcile supplier accounts to ensure all outstanding invoices are recorded and paid.
- Resolve any discrepancies with suppliers regarding payments, overpayments, underpayments, or invoice errors .
- Maintain organized records of all invoices, payment receipts, and related documents.
- Ensure proper filing and archiving of all AP-related documents for future reference and audit purposes.
- Track and report on departmental or company-wide expenses as they relate to accounts payable.
- Assist with preparing regular reports on accounts payable status, including aged accounts payable, outstanding liabilities, and cash flow projections.
- Review and process employee expense reports, ensuring they are compliant with company policies and that receipts are properly documented.
- Ensure timely reimbursement of employee expenses.
- Attention to Detail : Ensure accuracy in invoice processing and payment execution.
- Communication Skills : Ability to communicate clearly and professionally with vendors and internal teams.
- Organizational Skills : Capable of handling multiple tasks and deadlines.
- Accounting Knowledge : Basic understanding of accounting principles, particularly as they relate to accounts payable.
- Software Proficiency : Familiarity with accounting software (e.g., SAP, Oracle, QuickBooks) and Microsoft Office, particularly Excel.
- Problem-Solving : Ability to resolve discrepancies and issues with vendors or within the internal system.
- A Bachelor s degree in Accounting, Finance, or a related field is typically preferred.
- Prior experience in an accounts payable or finance role can be beneficial.
