Job Description


Job Overview:

We are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Backend Administration and Sales Support professional. In this role, you will support the backend operations, ensuring smooth processing of sales orders, maintaining customer records, generating reports, and assisting with general administrative tasks to enable the sales team to focus on driving revenue. The ideal candidate will have strong administrative skills, an eye for detail, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

1. Sales Order Processing:

  • Manage and process sales orders, ensuring accuracy and timely delivery.
  • Coordinate with the logistics and operations teams to ensure smooth fulfilment.
  • Update the CRM system with relevant customer and sales data.

2. Administrative Support:

  • Assist in the preparation and organization of sales presentations, proposals, and contracts.
  • Maintain and update customer records, ensuring accuracy and completeness.
  • Provide administrative support to the sales team, including scheduling meetings, preparing reports, and tracking key performance metrics.

3. Reporting & Data Analysis:

  • Generate sales performance reports, tracking progress against targets and KPIs.
  • Maintain accurate sales forecasts and pipeline reports.
  • Provide insights into sales trends and support the team with data-driven decision-making.

4. Communication & Customer Support:

  • Act as a liaison between the sales team and customers for order status updates, inquiries, and issues.
  • Assist with resolving customer complaints or issues related to sales processes.

5. Sales & Marketing Collateral:

  • Assist in the creation and distribution of sales and marketing materials.
  • Help coordinate and track marketing campaigns, ensuring proper documentation and follow-up.

6. Inventory & Stock Management (Optional):

  • Collaborate with the inventory management team to track product availability and communicate with the sales team regarding stock levels.

7. Documentation & Filing:

  • Ensure all sales-related documents are properly filed, both physically and electronically.
  • Manage contracts, purchase orders, and invoices for accurate record-keeping.

Requirements:

  • Proven experience in sales support, administration, or a related field.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software (e.g., Salesforce, HubSpot).
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize in a dynamic environment.
  • A proactive approach to problem-solving and a collaborative team player.
  • Familiarity with inventory management and order processing systems (optional).
  • High school diploma or equivalent (Bachelor's degree preferred).

Preferred Qualifications:

  • Experience with sales data analysis and reporting.
  • Knowledge of marketing and sales strategies.
  • Previous experience with customer service or backend support.
