Energy Aspects currently has an exciting opportunity available for an Accounts Payable Specialist to join the Finance team, based out of our Kolkata office, dedicated to supporting our Finance team.

We are seeking a detail-oriented and experienced Accounts Assistant to join our team. As an Accounts Payable Specialist, you will be responsible for maintaining accurate financial records, managing accounts payable, reconciling bank statements, and assisting with invoicing. The ideal candidate should have strong organizational skills, excellent attention to detail, and a solid understanding of accounting principles.


Key Responsibilities:

  • Preparing monthly supplier statement reconciliations & Maintain accurate and organized financial records and documentation
  • Dealing with external and internal queries by phone and email
  • Communicating with relevant suppliers to process invoicing or payment queries
  • Process bi-weekly payments made to vendors in a timely manner and initiate payment 
  • Process Staff Expenses claims on expense management system
  • Responsible for managing and maintaining financial records, with a particular emphasis on processing invoices and other bills, review and reconcile invoices, obtain any necessary approvals
  • Process Fixed Assets/ Prepayments invoices. assist in maintaining the  Fixed Assets/ Prepayments, monthly reconciliations
  • Posting invoices and credit notes and ensuring they are coded correctly in the system
  • Process and manage accounts payable transactions, ensuring accuracy and timeliness and allocate them in ERP as per COA & Department
  • Ability to manage multiple tasks simultaneously while meeting deadlines consistently
  • Proficiency in Microsoft Office Suite (particularly Excel) for reporting
  • Excellent communication skills both verbal and written
  • Good knowledge of Assets / Liabilities and Income / expense and its accounting treatment.
  • Willing to engage with internal team and confident to process invoices
  • Ownership of AP inbox, responsible for resolution of any Vendor queries. Knowledge of Freshdesk ticketing system helpful but not required
  • Contribute to process improvements and efficiency enhancements within the accounts payable function
  • Collaborate with internal departments and external vendors to resolve discrepancies and issues
  • Awareness on Tax implication - e.g. TDS, GST

Skills, Knowledge and Expertise:

  • Degree in a quantitative subject such as economics or engineering
  • 5+ years working in a data or research role, as part of a team
  • Excellent time management skills, ability to prioritise and deliver to pre-agreed timeframes
  • Understanding of data preparation and cleanliness best practices, within Excel and SQL databases
  • Proficient use of Excel for collating and presenting data
  • Ability to learn new concepts quickly, apply a critical thinking approach to tackling large scale challenges
  • Excellent communication skills
  • Experience working across time zones, primarily London/US, in a cross-functional role within a global company
