Key skills for the job
1.To provide administrative and secretarial assistance to the Vice President as well as Guests.
2.To manage and prepare / consolidates daily reports received from various departments / division of organization and analyze the same as required.
3.Maintain good professional relationship with all divisions and responsible personnel within the company in order to obtain information necessary for contracts, other documents and projects, and in responding to or directing inquiries.
4.Ensures arrangements and preparations of meetings and conferences including meeting space, scheduling time, sending invitations, scheduling of agenda of meetings, and obtaining relevant materials or media equipment as needed.
5.Communication and documentation / filing of activities through mail/fax/memos/letters.
6.Handling of external and internal communication.
7.Coordinating with allied departments of the hotel to ensure high standards of quality service and maximum guest delight.
8.Preparing and distribute the agenda to all HODs and concerned personnel to participate meetings.
9.Preparing minutes and collecting status of Action taken reports (ATR) as required.
10.Note the observations in all relevant areas as guided by and submit to the Vice President.
11.Continuous follow up with all relevant departments during the events.
