The role holder will be responsible for overseeing and optimizing the company's Management Information System to ensure accurate, timely, and efficient data management and reporting. This role involves managing a team, implementing process improvements, and collaborating with various departments to meet business needs. The ideal candidate will have a strong understanding of SAP, data analysis, and MIS best practices.
Responsibilities:
- Order Management & Invoicing: Oversee the timely and accurate generation of Sales Orders (SO) and Invoices, ensuring adherence to SOPs and business requirements. Manage corrections and prevent future errors.
- Material Rejection Reporting: Implement and manage a system for timely reporting and tracking of material rejections, utilizing tools like Google Forms. Develop controls to minimize rejection cases.
- Inventory Control: Monitor and manage virtual stock levels, investigate and resolve discrepancies in WRF stock within SAP, prepare weekly inventory reports for business review, and collect monthly stock certificates.
- Credit/Debit Note (CN/DN) Management: Track and update CN/DN information, provide regular status updates to the business, facilitate meetings to discuss outstanding items, and resolve reconciliation issues within the team.
- Proof of Delivery (POD) Tracking: Monitor and report on POD status, track team productivity related to POD management, optimize the use of KissFlow for POD reporting, and ensure timely receipt of PODs. Manage daily sales report updates in the SCM Google Sheet for KissFlow ticket creation and POD updates.
- SAP Development: Develop and maintain SAP functionalities, including node and storage location creation, invoice format updates, SO condition development, sales report updates based on SO conditions, and customization of export sale invoice booking.
- Monthly MIS Reporting: Prepare and distribute monthly MIS reports, including KPI reports, sales reports, CN/DN provisions and mapping, profit margin calculations, rejection analysis, stock valuation, SO closing, GRN & payment, open GIR, and provision realignment.
- Team Management & Planning: Create and manage weekly team rosters, considering leave requests to ensure uninterrupted business operations.
- Daily Reporting & Communication: Distribute daily sales reports and roster plans via WhatsApp to relevant stakeholders.
- System Maintenance & Updates: Maintain and update Google Forms (e.g., Sauda Form, Material Rejection Form) and Google Sheets (e.g., payment advice, TCS removal, CN/DN reconciliation tracker, MIPL transactions) as needed.
Qualifications:
- MBA or Postgraduate degree in Management from a reputable institution.
- Proven experience in MIS management, preferably in a manufacturing/logistics environment.
- Strong understanding of SAP and related modules.
- Proficiency in data analysis and reporting tools (e.g., Google Sheets, Excel).
- Excellent communication, interpersonal, and team management skills.
- Ability to work independently and as part of a team.
- Strong problem-solving and analytical skills.
