Job Description
- Assisting the PM in preparation and maintenance of core project documents for timelines, scope, budget, and other project controls, etc.
- Assisting the PM with preparation of budget reconciliation and revenue forecasts
- Assisting the PM with preparation and deliver of monthly status reports to customers
- Minimum Education: BS/BSc/BA, or equivalent.
- Minimum Experience : 5 yrs.
- Minimum Work Requirements:
- Working knowledge of Excel / Spreadsheets / Outlook / Teams / Word
- Able to demonstrate good analytical skills
- Proficiency in English, oral and written, is essential
- Good computer application skills (MS Office and MS Project or similar project management tool).
- Skills:
- The Project Assistant combines the ability to maintain the overview of many parallel projects with a high degree of attention to detail
- The Project Assistant demonstrates excellent interpersonal skills with the ability to motivate others and optimize the effectiveness of the PM
- The Project Assistant builds trust and will communicate effectively with both Cytel team members, management and sponsors.
- Maintain and support tracking of Cytel project timelines, budgets, team lists, and other project control documents.
- Conduct monthly budget reconciliations against actual work completed.
- Assist in the preparation of monthly sponsor reports.
- Ensure project plans and budgets are updated regularly.
- Regularly review project status with the teams and PM to help ensure project delivery within approved budgets and timelines.
- Work with project teams to ensure out-of-scope activities are identified, quantified, and agreed with the sponsor ahead of implementation.
- Ensure Cytel time reporting system is set up to enable project tracking and invoicing.
- Assist with monthly sponsor invoicing, in collaboration with Cytel Finance.
- Assist with preparation of revenue forecasts.
- Attend select project team meetings and draft detailed minutes with clear action items.
- Submit access requests for project team members.
- Assist with study archival and/or transfer to sponsor.
