Key Responsibilities:
A Global Payroll Specialist is responsible for overseeing and managing the payroll processes for Cognitus international workforce. This role ensures that employees across multiple countries are paid accurately, on time, and in compliance with local tax regulations, labour laws, and company policies. The specialist works closely with HR, finance, and external payroll providers to ensure smooth payroll operations, mitigate compliance risks, and maintain payroll records.
The candidate must be experienced in handling payroll for India & US regions mainly.
Global Payroll Processing:
Manage end-to-end payroll processing, including but not limited to, data entry, calculations, deductions, and tax filings.
Ensure accuracy and compliance with local, state, and federal regulations governing payroll and employee benefits.
Maintain payroll records, including employee files, tax forms, and payroll reports.
Respond to payroll-related inquiries from employees, managers, and external stakeholders in a timely and professional manner.
Coordinate with internal HR and Finance teams to collect and verify payroll data (hours worked, salaries, bonuses, deductions, etc.).
Partner with external payroll providers to ensure accurate payroll execution.
Ensure payroll calculations (e.g., taxes, benefits, and other deductions) comply with local regulations in each country.
Stay current on industry trends and best practices in payroll administration
Ensure confidentiality and security of employee data
Compliance & Reporting:
Stay up to date on local tax laws, social security, and statutory requirements.
Ensure compliance with government regulations and company policies related to payroll and tax withholding.
Must visit PF or other government offices when required.
File necessary tax documents and reports for different jurisdictions.
Maintain accurate payroll records for audits and reporting purposes.
Ensure accuracy and compliance with local, state, and federal regulations governing payroll and employee benefits.
Maintain payroll records, including employee files, tax forms, and payroll reports.
Vendor Management:
Collaborate with third-party payroll vendors to handle payroll processing in countries where the company operates.
Monitor the performance of payroll vendors and ensure service-level agreements (SLAs) are met.
Issue Resolution:
Address and resolve payroll discrepancies, employee concerns, and escalated issues related to global payroll.
Investigate and correct payroll errors to ensure accurate payments.
Systems & Process Improvement:
Assist in the integration and implementation of payroll systems across different regions.
Identify opportunities to streamline global payroll processes to improve efficiency and accuracy.
Data Security:
Ensure that all payroll data is handled securely and in compliance with data privacy laws (e.g., GDPR).
Maintain confidentiality and security of payroll information.
Qualifications:
Bachelor s degree in human resources, Business Administration, or related field.
6+ years of experience in HR roles, with a focus on HR payroll for India & US.
Experience working in a multinational company or managing payroll in regions such as North America, EMEA, APAC, and LATAM will be good to have.
Strong understanding of payroll laws, regulations, and compliance requirements.
Exceptional attention to detail and accuracy in data entry and calculations.
Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
Proven ability to handle sensitive and confidential information with discretion and professionalism.
