Job Description


OpenAir Data Input:

  • Perform bulk data entry in OpenAir, ensuring accuracy and completeness.
  • Regular update data to reflect current projects status and resource assignments.
  • Adjust schedules around FTO that is booked.

Process Scheduling Requests:

  • Manage the scheduling inbox and team requests efficiently.
  • Prioritize and address requests based on urgency and project needs.

Support filling Open Needs:

  • Assist Resource Manager in filling open needs by using tools available to search for professionals with the right skillsets and availability and sending staff options to Resource Manager to review.

Charge Code Access:

  • Manage and grant access to charge codes as required.
  • Ensure proper authorization and documentation for charge code usage.

Follow up on outstanding timesheets & Availability and availability analysis:

  • Contact professionals to address and submit any missing timesheets.
  • Availability follow ups and maintain list of internal items each person is working on.
    • Availability Analysis:
      • Review upcoming availability, overscheduled resources, and project schedules to identify areas of concern, pockets of availability that need to be filled, and extension opportunities to follow up on. Share analysis of findings with the Resource Manager.
      • Assist with follow-ups with engagement partners and leaders to address utilization opportunities found.

Reclass pending code open time:

  • Coordinate with OpenAir support to reclass pending code open time to ensure time is moved for invoicing.


Weekly Analysis and Issue Resolution (Booked vs. Actuals):

  • Create and format the weekly analysis report in Excel using pivot tables, conditional formatting, and formulas.
  • Assist with weekly analysis of scheduling data.
  • Proactively reach out to resolve issues as directed by Resource Managers.
  • Focus on key metrics such as scheduled vs actuals, utilization rates, missing timecards, and pending code openings.

Monthly Utilization Analysis:

  • Assist in the creation and analysis of monthly utilization reports.
  • Focus on key metrics to identify the reasons behind resources with low utilization and potential action items to be taken to drive utilization up going forward.

Meeting Support

  • Build reports and prepare meeting materials including power point decks for weekly unit meetings.
  • Take notes and track action items during meetings as needed.

New Hire Onboarding Process Management:

  • Maintain the folder of resumes ensuring that each new hires resume is added and properly named and that resumes for employees no longer with the firm are archived.
  • Add professionals names to Asana lists: (Firmwide Open Needs & Unconfirmed Bookings)
  • Add training time in OpenAir for the week each employee starts.
  • Check in with new hires on the status of their professional profiles and follow up until each professional profile is complete.


Operational Support:

  • Support unit Operations Managers with ad hoc monthly administrative tasks including:
  • Providing schedule team information as needed
