Customer Service Associate

Role & responsibilities

1. Order Processing and Collaboration:
• Manage diverse transactions to ensure efficient order processing.
• Provide prompt customer confirmations.
• Align with the sales team to streamline order backlog management and enhance customer satisfaction.
2. Document Management and Receivables:
• Handle statutory documents (customer, internal documents, sales returns, approvals, etc.), posting them in alignment with payment terms for order releases.
• Monitor receivables, follow up on overdue customer accounts, and ensure timely clearance.
3. Order Monitoring and Communication:
• Monitor customer orders, provide timely updates on order and shipment statuses.
• Track transportation progress in coordination with transporters.
• Maintain complete and accurate documentation throughout the order lifecycle.
4. Interdepartmental Collaboration:
• Collaborate with the sales team to address non-conformance cases.
• Foster cross-departmental communication across planning, logistics, production, and quality control departments.
5. Problem-Solving and Backup Support:
• Handle unexpected situations/issues and resolve them promptly.
• Provide necessary support to sales executives, including tracking and following up on sample results for potential business opportunities.
6. Forecasting and Reporting:
• Compile daily and weekly forecasts (demand matrix tracking) and stock reports, contributing crucial insights to the planning process.
• Report monthly sales figures to support data-driven strategies and decision-making.
• Analyze various data and share insights with key stakeholders to aid the decision-making process.
7. Additional Responsibilities:
• Verify transporter invoices and ensure accuracy in vendor payments.
• Coordinate with vendors to resolve overdue invoices and communicate payment statuses.
• Facilitate prompt issue resolution for pending payments by coordinating with the payable team to ensure timely payment.
8. Warehouse Management:
• Monitor daily warehouse stock to ensure seamless product delivery to customers.
• Collaborate with planners to manage finished product shortages efficiently.
• Ensure inventory accuracy and optimal stock levels through regular audits and updates in the SAP ERP system.

Preferred candidate profile

• Bachelors degree in business administration, Supply Chain Management, or a related field.
• Proven experience in customer service, order processing, or a related role, preferably in a manufacturing or chemical industry.
• Proficiency in SAP ERP, Power BI, and Excel.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• Ability to work collaboratively with cross-functional teams.
• Detail-oriented with a strong focus on accuracy and problem-solving.
