Job Description

JD FOR RESIDENCE MANAGER CHAIRMANs RESIDENCE

Job Location – Mumbai

Facility Management

  1. Responsible for coordinating Facility Management at Directors/ Chairman’s residence and 45 and 51 Office.
  2. Hiring of resources for Chairman’s residence and other properties including House Manager for residence.
  3. Ensure smooth house management through House manager and other staff
  4. Seek performance feedback from family, review performance of the resources and develop their skills to meet the performance expectations.
  5. Validate attendance and ensure salary payout to the resources.
  6. Manage administrative support required at residence related to supplies, repairs, maintenance, renovation etc.
  7. Ensure Conference facility is managed with adequate amount of seating arrangement, upkeep and maintenance of the furniture, proactive checking of conference equipment, tie up with caterers, availability of tea/snacks, managing the conference hall booking calendar, etc.
  8. Management of the HK and Facility Management at the Directors Residence and properties, 45 and 51 Office and liaise with society, MTNL, BSES, Utility Service Providers, LIC, BMC, manage company Inventories and its timely updation. Repairs and Maintenance of office and residence building etc.
  9. Handle TMCs, handling transport (Ola/Uber etc.), hotel accommodation.
  10. Vehicle management such as procurement, services, appointment of drivers, fuel management etc.
  11. Ensure utility payment done on time.
  12. Manage Admin petty cash Company owned vehicle, insurance timely renewal, and appointment of drivers, vehicle service and updating its tracker.
  13. Set Facilities standard in consultation with location seniors and ensure that the standards are not compromised by anybody in any manner.
  14. Manage the assigned renovation or interior decoration work. Co-ordinate with contractor, architects and team on the ground to ensure timely completion of project.
  15. Support in either buying or disposing decision of any of the company assets.
  16. Facility Management of 45 and 51 Fort offices



Security and Surveillance

  1. Coordinate security at the Directors residence and at the 45 and 51 Fort offices and implement system to track movement of material in/out of premises, maintain and check register of incoming and outgoing incumbents.
  2. Set security controls to ensure that only relevant employees are allowed entry with a gate pass inside the company premises.
  3. Liaison with Police and other Civil Administration based on requirement.




Repairs & Maintenance

  1. Ensure all AMC’s are in place and are renewed well before expiry dates.
  2. Ensure that all office equipment are in proper working conditions and up to the mark at locations.



Vendor Management

  1. Source and coordinate with Architect and Interior Contractors.
  2. Processing of payments by coordinating with finance team.
  3. Payment follows ups with Vendors/ Contractors.
  4. Maintaining vendor catalogue for Carpentry, Plumbing, Civil, and Electrical for Chairman’s property.



Miscellaneous

  1. Assisting in professional/ NGO activities of family.
  2. Liaison with all the government related agencies whenever required e.g., RTO / Passport, Shops & Establishment, BMC, Fire, MTNL, PwD and other local government offices etc.
  3. Ensure to maintain cordial relations & rapport with these said agencies.
  4. Manage any additional responsibility assigned by family.
  5. Be available on call anytime to ensure support to family.
  6. Establish a system to avail stationary facility, review usage and control at it by taking appropriate steps which are in the larger interest of the company.
  7. Management of Directors car fleet and coordination of drivers.
  8. Organize and co-ordinate corporate events and functions assigned from time to time e.g. Annual Function, Long Service Award, New year function, Jamnalal Award function, CSR events, Festival celebrations e.g. Dasara, Diwali and Navratri Pooja etc.
