Planning & Production Manager For Design Projects

What you'll do

Role & Responsibilities

Project coordination:

• Manage the end-to-end lifecycle of design projects from start to completion.
• Ensure all inputs are complete; if any information is missing, liaise with stakeholders to address the gaps.
• Develop and maintain project timelines, ensuring all deadlines are met.
• Coordinate with designers, copywriter, freelancers and other team members to ensure seamless project execution.
• Communicate project status, updates, and potential issues to stakeholders promptly.
• Request quotes from suppliers and process them in cost estimates.

Studio traffic management:

• Allocate resources efficiently, balancing workloads and managing priorities.
• Track project progress and adjust schedules as needed to accommodate changes.
• Identify and resolve issues in the workflow to ensure smooth project delivery.

Design support:

• Assist in the production of high-quality print and digital materials, for example PowerPoint presentations, RFP documents, pdf documents, etc.
• Ensure all design assets comply with brand guidelines and technical specifications.
• Collaborate with the design team to create visually compelling marketing materials.

Quality control:

• Review and approve design work to ensure accuracy and adherence to project requirements.
• Conduct final checks on all deliverables before they are released to stakeholders or published.

Preferred candidate profile

• Bachelors degree in design, marketing, communications, or a related area of expertise with minimum of 6 years of experience in project management within a design or marketing environment.
• Proven experience with studio traffic management and resource allocation.
• Proficiency in DTP software such as Adobe Creative Suite (e.g., Adobe InDesign, Illustrator, Photoshop), also Microsoft tools (e.g. PPT, Word, Excel).
• Experience with Smartsheet, Hubspot and CMS systems such as Wordpress (desirable).
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Detail-oriented with a commitment to quality.
• Fluent (professional) written and spoken English.
• Experience in travel, corporate travel, Marine. Energy, Mining, Sports and Events (desirable).
• Digital-savvy and open to new tools & tech in your area of expertise.
