Job Title: Executive Assistant

Location: Naroda, Ahmedabad

Reports To: Head of CSR

Role Summary

The Executive Assistant to the CSR Head will provide high-level administrative and strategic support to the CSR Head, ensuring the seamless execution of projects, effective communication, and efficient operations. The role involves coordinating activities across CSR initiatives, managing stakeholder engagements, and enabling the CSR Head to focus on strategic priorities.

Key Responsibilities

1. Administrative Support:

• Manage the CSR Heads calendar, scheduling appointments, meetings, and travel arrangements.
• Prepare meeting agendas, minutes, and follow-up action plans.
• Handle correspondence, emails, and communication on behalf of the CSR Head.

2. Project Coordination:

• Track and monitor the progress of CSR projects and provide timely updates to the CSR Head.
• Coordinate with internal teams, NGOs, and external stakeholders to ensure project timelines are met.
• Assist in preparing proposals, presentations, and reports for CSR initiatives.

3. Data Management and Analysis:

• Organize and maintain documentation related to CSR programs, policies, and compliance.
• Analyse data and provide insights to support decision-making and reporting.
• Assist in drafting annual CSR reports and ensuring adherence to legal reporting requirements.

4. Stakeholder Engagement:

• Serve as a point of contact between the CSR Head and internal/external stakeholders.
• Coordinate with government agencies, community leaders, and NGO partners for CSR events and activities.
• Build and maintain effective relationships with key stakeholders.

5. Strategic Support:

• Assist the CSR Head in developing and implementing CSR strategies and roadmaps.
• Conduct research on emerging CSR trends, best practices, and regulatory updates.
• Support in budget planning, resource allocation, and tracking expenses for CSR projects.

6. Event Planning and Coordination:

• Plan and execute CSR events, workshops, and community engagement activities.
• Ensure effective communication and logistics for events and meetings.

Qualifications and Skills

Education:

• Bachelors or Master’s degree in Business Administration, Social Work, Development Studies, or a related field.

Experience:

• 2-4 years of experience in an EA role, preferably in CSR or a related field.
• Exposure to CSR projects and compliance requirements is an added advantage.

Skills:

• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficiency in MS Office (Excel, PowerPoint, Word).
• Analytical mindset with the ability to handle data and generate insights.
• Ability to manage confidential information with discretion.
