We are seeking a skilled Proposal Writer to join our team, focusing on global large IT companies as well as U.S. Federal, State, and local government Request for Proposals (RFPs/RFXs). The ideal candidate will possess a solid understanding of software, cloud, and AI technologies and have extensive experience managing RFX response projects. You will play a critical role in analyzing RFXs, creating persuasive and compliant proposals, and coordinating with stakeholders to deliver compelling submissions for public and private sector opportunities.

To excel in this role, you must demonstrate technical aptitude, strong project management and communication skills, and the ability to manage competing priorities under tight deadlines.

Role & responsibilities

• Define, schedule, and manage the end-to-end proposal preparation process, ensuring all responses meet internal and external compliance requirements.
• Analyze RFXs, working with related delivery team to identify deliverables, and set deadlines for stakeholders, holding subject matter experts accountable for contributions.
• Research, write, and organize proposal content professionally, tailoring responses to align with client requirements and the companys value proposition.
• Coordinate and review input from cross-functional teams, including Sales, Marketing, Product Development, Cloud Operations, Finance, Legal, and Professional Services.
• Leverage Company content libraries and tools to develop customized, persuasive responses in short Video, PDF, PPT or Word document.
• Manage multiple RFXs simultaneously and prioritize responsibilities to meet demanding deadlines.
• Ensure proposals are formatted and delivered in compliance with RFX guidelines and company standards.
• Participate in post-submission debriefs to capture lessons learned and continuously improve proposal processes.
• Suggest relevant proposal content for inclusion in the proposal library for future use.

Preferred candidate profile

• Education:
• Bachelors degree in Business, Journalism, Communications, English, or a related field is required.
• Experience:
• 5+ years of experience writing and managing proposals (RFPs/RFXs) for IT outsourcing services in the U.S.
• Experience preparing IT staffing proposals for U.S. Federal, State, and local government clients.
• 2+ years of technical writing experience, preferably within the software industry.
• Hands-on experience with SaaS-based solutions and proposal management platforms such as Loopio, Responsive, or Qvidian is preferred.
• Experience working in deadline-driven, high-pressure environments with flexibility for non-standard business hours when required.
• Skills:
• Advanced proficiency in Microsoft Word, Excel, Adobe Acrobat, and SharePoint.
• Strong project management skills with the ability to manage multiple responsibilities concurrently.
• Excellent written and verbal communication skills in English.
• Ability to work cross-functionally and build relationships with stakeholders.
• Exceptional organizational and time management skills with attention to detail.
• Familiarity with Salesforce and customer relationship management tools is a plus.
• Experience responding to RFXs in the public sector is a strong advantage.
• Availability to work on a U.S. timezone, or at least ensure a minimum of 4 hours of overlap with PST business hours.

Preferred Skills:

• Experience handling RFXs related to cloud, AI, and software technologies.
• Strong understanding of compliance and regulatory requirements for government proposals.
• Ability to translate complex technical concepts into clear and concise business language.
