Job Description:

Position: RFP & Vendor Relationship Manager

Experience: 5-9years

Location: Vizag / Hyderabad

Working Hours: 3.00 PM IST - 12.00 AM IST / 5.30 AM EST - 2.30 PM EST (flexibility required)

Key Responsibilities:

• RFP/Bid Management:
• Manage the full cycle of proposal development for IT solutions and staffing services, including RFP/RFQ/RFI responses, proposal writing, and document submissions.
• Review RFPs for staffing and IT solution services for clarity, requirements, and alignment with company capabilities.
• Manage amendments and modifications during the bidding process and ensure compliance with all updates.
• Own the non-technical portions of RFPs, such as compliance, legal, and general sections, while coordinating technical input from relevant stakeholders.
• Lead bid/no-bid discussions, and develop the proposal strategy, timelines, and final submission.
• Manage proposal-related communications, meetings, and deadlines across departments.
• Opportunity Identification:
• Monitor and identify new RFP opportunities, primarily focusing on IT solutions and staffing but also considering other capabilities.
• Research and recommend additional platforms and channels for identifying opportunities in both public and private sectors."
• Maintain a repository of previous bids, past performance data, and lessons learned to inform strategy and improve proposal success rates.
• Compliance & Documentation:
• Ensure proposals comply with all federal/state regulations, contract terms, and RFP conditions.
• Continuously update and enhance proposal templates, pricing models, and RFP response libraries for both IT and staffing proposals.
• Lead post-bid assessments, analyzing wins and losses to improve future proposals.
• Vendor Engagement & Certification Management:
• Serve as the primary point of contact (POC) for vendor relationships during new agreements.
• Manage ongoing vendor registrations, ensure continuous compliance, and actively pursue certifications required for Federal and State contracts, including but not limited to Small Business, Minority-Owned, and other relevant certifications..
• Cross-Team Collaboration:
• Collaborate closely with the technical, legal, finance, and other departments to gather necessary information for proposals.
• Ensure proper coordination with external resources, including partners and contractors, to complete proposals effectively.

Qualifications:

• Education & Experience:
• Bachelors or Masters degree from a recognized institution.
• 5-9 years of relevant experience in RFP management and vendor relations, with at least 5 years of experience handling bids for USA Federal/State/Commercial clients.
• Prior experience with IT solutions, staffing, and knowledge of the USA bidding process is highly preferred.

• Desired Skills:
• Understanding of pricing and cost strategies for staffing and IT services proposals, including FTE calculations and subcontractor agreements.
• Experience with diversity, equity, and inclusion requirements for vendor selection processes.Strong English language proficiency for drafting, editing, and presenting proposals.
• Expertise in using platforms such as Sam.Gov, GovWin, FedBizOpps, Bidprime, and others.
• Proven ability to manage multiple bids simultaneously and work independently on proposal content.
• Excellent organization, communication, and coordination skills.
