Responsibilities:
Vendor Management:
- Research, identify, and evaluate potential vendors based on quality, price, reliability, and other relevant factors.
- Develop and maintain strong relationships with key vendors.
- Negotiate contract terms, pricing, and service agreements with suppliers.
- Monitor vendor performance and address any issues or discrepancies.
- Regularly review and update the vendor database.
Procurement Activities:
- Manage the entire purchasing cycle, from requisition to delivery.
- Analyze purchasing needs and develop sourcing strategies.
- Prepare and issue purchase orders.
- Track orders and ensure timely delivery of goods and services.
- Monitor and review the quality of purchased products and services.
- Manage and optimize inventory levels.
- Collaborate with internal stakeholders to understand their requirements and ensure timely fulfillment.
Financial Management:
- Conduct cost analyses and identify opportunities for cost savings.
- Prepare reports on purchases, including cost analyses, vendor performance, and market trends.
- Manage the purchasing budget.
- Ensure accurate record-keeping of purchase orders, invoices, and other relevant documentation.
Compliance and Process Improvement:
- Ensure compliance with all relevant regulations and internal policies.
- Identify and implement process improvements to enhance efficiency and effectiveness of the procurement function.
- Stay up-to-date with industry best practices and trends.
Market Research:
- Conduct market research to identify new suppliers, products, and technologies.
- Attend trade shows and exhibitions to stay informed about industry trends and network with potential suppliers.
Teamwork and Collaboration:
- Collaborate effectively with other departments, such as operations, finance, and warehouse.
- Work closely with warehouse staff to ensure proper storage and handling of purchased goods.
Requirements and Skills:
- Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related field preferred.
- Experience: Proven work experience as a Purchasing Officer, Purchasing Agent, Purchase Manager, or similar role.
Technical Skills:
- Proficiency in using ERP systems and purchasing software.
- Strong Microsoft Excel skills (including data analysis and reporting).
Soft Skills:
- Excellent negotiation and communication skills (written and verbal).
- Strong analytical and problem-solving skills.
- Ability to work independently and as part of a team.
- Strong organizational and time-management skills.
- Attention to detail and accuracy.
Knowledge:
- Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors).
- Understanding of supply chain procedures and logistics.
- Knowledge of contract negotiation and management.
- Familiarity with quality control and assurance processes
