Job Profile:

Amagi is looking for a proactive and detail-oriented RFP Specialist to join our Systems Engineering team. The ideal candidate will play a crucial role in managing and crafting compelling, accurate, and customized responses to RFPs, RFIs, and other formal client requests. This role requires strong project management skills, an understanding of technical concepts, and the ability to collaborate effectively with cross-functional teams to deliver high-quality proposals. The RFP Specialist will contribute to process improvements, knowledge sharing, and enhancing overall team efficiency.

Key Responsibilities:

a) RFP and Proposal Management:

Collaborate with sales, technical, and product teams to create accurate and compelling responses to RFPs, RFIs, and other inquiries. Gather relevant information from internal teams to ensure alignment with client requirements. Maintain a repository of standardized proposals for consistency and efficiency.

b) Content Development and Customization:

Customize proposal templates and technical documents to align with client needs and Amagis solutions. Write and edit content that is clear, accurate, and accessible for both technical and non-technical audiences.

c) Collaboration and Communication:

Act as the main point of contact for RFP-related activities. Manage proposal development timelines, facilitate cross-functional communication, and ensure technical accuracy with SMEs.

d) Process Improvement and Documentation:

Streamline RFP and proposal development processes. Maintain an up-to-date repository of RFP-related documents and templates, ensuring alignment with the latest solutions and offerings.

e) Client and Vendor Interaction:

Respond to client inquiries, manage proposal-related communications, and ensure timely delivery of all proposal materials while addressing client feedback.

f) Sales Support and Proposal Efficiency:

Support sales teams by tailoring RFP responses to customer needs and collaborating on materials that align with company messaging. Implement best practices, templates, and guidelines to improve proposal quality and efficiency.

Skills and Expertise Required:

• Bachelors Degree in Business Administration, Marketing, Technical Writing, Communications, or a related field.
• 5+ years of experience in an RFP Specialist, Proposal Management, or similar role, preferably within a technology-driven or systems engineering environment.
• Proven experience in creating RFP responses, technical proposals, and handling RFIs, with the ability to write clear and persuasive content.
• Strong project management skills with the ability to handle multiple proposals simultaneously while meeting deadlines.
• Proficiency in documentation and proposal management tools (e.g., RFPIO, Qvidian, Microsoft Office Suite).
• Strong analytical and problem-solving skills, with the ability to understand complex technical solutions and present them in an accessible manner.
• Excellent written and verbal communication skills with exceptional attention to detail.
• Experience working in cross-functional teams, collaborating with sales, engineering, and legal departments.
