Specialist - API Procurement

Reports to: Associate Director Strategic procurement.
Main purpose of role:
Manage complete planning & procure to pay cycle for all sub-contracted API molecules to ensure supply continuity. Effectively manage API inventory with monthly reconciliations, proactive provisions and minimize write off to keep API Inventory at optimal & up to date. Liaise with API suppliers & internal stakeholders (CFT) for all techno-commercial needs of API supply & procurement. Support Quality, regulatory, technical & project teams with all quality & regulatory related information & documentation. Provide all supporting service to Supplier Relationship Managers, related to API sourcing, procurement, cost savings initiatives, strategic sourcing projects and M&A integration activities.
Key responsibilities (In Points):
- Manage complete planning & procure to pay cycle for all sub-contracted API molecules to ensure supply continuity and target Zero out of stock situation because of API availability.
- Planning of API purchase by using SAP generated purchase requisitions (PR), created by BOM of finished products.
- Perform checks SAP generated PR against real requirements from finished product contract manufacturing organizations (CMOs).
- Liaising with Advanz commercial support team for API export forecasts and adding them into overall API purchasing plan.
- To prepare monthly purchasing plan and submit to Supplier relationship manager for verification.
- To prepare and send monthly forecasts to API suppliers.
- To raise and send purchase orders (POs), then request for delivery date confirmation from supplier.
- To follow-up suppliers for delivery and post goods receipt in SAP based on confirmation from stock receiving sites.
- Ensuring that suppliers are providing required Quality documents (GMP and GDP) and providing those documents to AMCo Quality Batch release team for batch release in SAP.
- Ensuring that suppliers are providing required Regulatory documents (CEP and DMF) and providing those documents to cross-functional teams for various activities or projects.
- To initiate and maintain all relevant API procurement data in SAP or various databases.
- To generate relevant reports from SAP in each month.
- Liaising with transport providers for incoming and outgoing deliveries, by keeping all stakeholders informed as per agreed process.
- Communicate and follow-up with transport providers for GDP (temperature control and dangerous goods transport) and commercial documentation (AWB, COO, EUR1) requirements.
- To raise service POs for freight of Advanz owned stocks from one site to another.
- To raise POs for reference standard requirements, based on advice from Supplier Relationship Manager.
- Liaising with Supplier Relationship Manager and maintain a database for all requests related to API procurement functions from internal Advanz teams (Project management, Regulatory, Quality and Finance).
- Raise and manage change controls & deviations to ensure right systems & process.
- Inventory Management - Effectively manage API inventory with monthly reconciliations, proactive provisions and minimize write off to keep API Inventory at optimal & up to date level. Interact with CFT teams like finance and post write offs in systems as per process.
- Identify cost saving, cost avoidance, process development initiatives to manage cost effective & lean operations.
- Provide all supporting service to Supplier Relationship Managers, related to API sourcing, procurement, cost savings initiatives, strategic sourcing projects and M&A integration activities.
- Projects and M&A integration activities Manage all API operations of integrating new API molecules form M&A to support new strategic & M&A project to adapt sub-con molecules. Responsible for all API operations as part of integration activities like system set up, documentation etc to get API suppliers in our system. Co-ordinate with cross functional teams & support API procurement requirements for tech transfers to various CMOs, API validation projects, new source developments etc.
- With M&A, there is multi fold increase in API sale model, which is preferred revenue generation model for various ROW territories. Involve in discussion with commercial team for DF & fulfilment (API planning, procurement, supply & logistics) to these ROW countries to support commercial team.
