Sat within the UK HSEQ Team and providing support to the HSEQ team, based in the UK iCRC, this role will manage the administration of HSE virtual instructor led and e-learning training courses.

CORe FUNCTIONS

• Manage the administration of HSE virtual instructor led and e-learning training. This includes:
  • Setting up courses
  • Amending courses.
  • Updating training records.
  • Liaising with the trainers.
  • Responding to queries
  • Booking meeting rooms and lunches
  • Running monthly reports
  • Training Program Coordination and Development:
    • Support the development and customization of training content in collaboration with trainers and HSEQ specialists.
    • Ensure training programs are aligned with the latest HSEQ policies, industry standards, and compliance requirements.

• Data Management and Reporting:
  • Regularly update and maintain training databases to ensure accuracy in tracking employee training progress and certifications.
  • Develop and manage dashboards for real-time tracking of HSEQ training metrics.
• Compliance Monitoring:
  • Monitor training compliance across teams, ensuring that all employees meet required training timelines and HSEQ certifications.
  • Notify relevant team members or managers when re-certifications or refresher training are due.
• System Administration and Troubleshooting:
  • Administer the Learning Management System (LMS) used for virtual instructor-led and e-learning courses, including troubleshooting issues.
  • Ensure course materials, attendance tracking, and assessment scores are accurately recorded in the LMS.
• Feedback and Continuous Improvement:
  • Collect feedback from training participants and trainers to evaluate course effectiveness and identify improvement areas.
  • Assist in developing and implementing improvements to training programs and processes based on feedback and analytics.
• Project Coordination Support:
  • Assist the HSEQ team with administrative support on larger HSEQ projects, including project documentation and scheduling.
  • Coordinate meetings, prepare agendas, and take minutes to track project actions and decisions.
• Providing general support to the HSEQ Team as required.

Requirements

• General understanding of WSP management systems.
• Delivering clear and accurate reports that meet the requirements of the business.
• Analysing and interrogating data sets using Excel/Power BI to support HSEQ deliverables.
• Highly organised and able to actively monitor HSEQ deliverables to ensure a high-quality service is delivered to plan.
• Motivated team member who can work constructively and flexibly with colleagues to plan and deliver internal business objectives.
• Contributing to the continuous improvement of the HSEQ Team, but also that of the wider business.
• Technical Skills - experience with Learning Management Systems (LMS), e-learning platforms, or training software.
• Compliance and Regulatory Knowledge - basic understanding of HSEQ regulations and compliance standards relevant to the organization or industry.
• Familiarity with ISO standards (such as ISO 45001 or ISO 14001) or other health and safety regulations would be beneficial.
• Project Management Skills - ability to handle multiple projects with shifting deadlines and priorities.
• Basic project management knowledge, potentially using software like MS Project or Trello for tracking tasks.
• Strong Communication Skills - ability to effectively communicate updates, issues, and feedback to stakeholders at various levels.
• Experience in drafting and distributing clear, concise, and informative communications related to training and HSEQ initiatives.
• Problem Solving and Adaptability - proven ability to troubleshoot and resolve issues independently, especially in managing training logistics or systems.
• Adaptable and able to respond proactively to last-minute changes in training schedules or resource needs.
• Overall 3-5 years of experience
