Purpose of the Job:
To oversee and manage all administrative functions, including facilities and infrastructure, security, transport, budgeting, process management, housekeeping, compliance, space utilization, and general administration to ensure smooth and efficient operations. This role involves implementing best practices, ensuring business continuity, and supervising the administrative team.
Essential Functions and Responsibilities:
- Oversee end-to-end administrative functions, including infrastructure setup, leasing of new offices across PAN India, facilities management, office maintenance, housekeeping, security, transportation, and office build-outs.
- Lead and manage a team comprising both internal administrative staff and third-party contractors, ensuring high-quality service delivery within specified timelines.
- Supervise and optimize key administrative functions such as cafeteria management, employee transport (fleet management), infrastructure and facilities, housekeeping, security, AMC, vendor and event management.
- Ensure compliance with statutory norms and regulatory requirements to facilitate seamless operations.
- Accountable for conducting internal and external audits for administrative functions.
- Enforce adherence to established systems and procedures, providing recommendations for service enhancements as needed.
- Develop and manage budgets, implement cost control measures, and devise practical, cost-effective solutions through analysis and interpretation.
- Identify, negotiate, and maintain relationships with vendors, including annual contract renewals, increments, and invoice management.
Supervisory Responsibilities:
- Lead a team including Admin Executives, Transport Coordinators, Electricians, Building Management Systems (BMS) staff, and vendor staff, covering housekeeping, cafeteria, and security.
Knowledge and Skills:
- Required: Proven experience in administration, infrastructure projects, facilities management, and transport. Strong interpersonal skills and project coordination experience. Ability to motivate teams and foster effective partnerships. Demonstrated success in a fast-paced, dynamic environment.
- Preferred: High level of discretion and interpersonal sensitivity, with the ability to handle confidential matters professionally.
- Desirable: Team-oriented, highly motivated, and willing to operate at stretch levels as required.
Key Performance Indicators (KPIs):
- Facilities management, transport logistics, event coordination, and preventive maintenance.
- Employee communication, cost control, budgeting, and adherence to health and safety standards.
- Audit and compliance outcomes.
Educational Qualifications: Graduate/Postgraduate
Work Experience: Minimum 15 years of relevant experience.
Prerequisites:
- Prior experience in MNC administration.
- Proven track record of managing 24x7 operations.
- Preferred candidates from large BPO or hotel industries.
