Job Description


Job Title: Executive Assistant & HR Project Coordinator

Location: Pune/ Thane

Reports To: Vice President of Human Resources


Job Summary:
The Executive Assistant & HR Project Coordinator plays a dual role, providing high-level administrative support to the Vice President of Human Resources while also contributing to the planning, design, and execution of key HR projects. This individual will manage the VPs calendar, travel arrangements, and communications while also engaging in human resources initiatives, supporting HR strategy, and ensuring seamless HR project execution.


Key Responsibilities:

Executive Assistant Responsibilities (40%)

  • Manage and maintain the VP of HRs calendar, scheduling meetings, appointments, and coordinating logistics.
  • Handle all travel arrangements, including booking flights, accommodations, and preparing itineraries.
  • Prepare meeting agendas, presentations, reports, and other business documents as needed.
  • Organize and track key deadlines, deliverables, and follow-ups for HR leadership.
  • Coordinate internal and external meetings, including HR team meetings, executive briefings, and cross-functional discussions.
  • Maintain confidentiality and professionalism in handling sensitive HR and business information.

HR Project Coordination Responsibilities (60%)

  • Support the design, implementation, and monitoring of various HR programs and initiatives.
  • Assist in planning and executing HR projects aligned with business needs, including talent management, employee engagement, learning & development, and workforce planning.
  • Partner with HR leadership and business teams to anticipate and prepare for long-term HR trends and workforce needs.
  • Develop reports, dashboards, and metrics to track HR project progress and effectiveness.
  • Collaborate with HR team members to ensure seamless execution of HR programs and policies.
  • Research and recommend best practices to enhance HR efficiency and effectiveness.
  • Provide support for HR communications, employee relations, and organizational development activities.

Qualifications & Skills:

  • Bachelors degree in Human Resources, Business Administration, or a related field preferred.
  • 2+ years of experience in an HR role, project management, or executive support.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Exceptional communication skills (written and verbal) and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word) and HRIS systems.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving abilities and attention to detail.
  • Experience with HR project management and understanding of HR functions is a plus.
