Job Summary:
The Executive Assistant serves as the primary point of contact and administrative support for CEO. This role involves managing schedules, coordinating meetings, handling communication, and performing a wide range of high-level administrative tasks to ensure the executive's effectiveness and productivity.

Key Responsibilities:

  1. Calendar and Schedule Management:
    • Plan and coordinate the executives daily, weekly, and monthly schedules.
    • Organize meetings, appointments, and events, ensuring no scheduling conflicts.

  1. Communication Management:
    • Serve as the executive's point of contact for internal and external stakeholders.
    • Draft, proofread, and manage email and other correspondence.
    • Handle calls, messages, and inquiries with professionalism and discretion.

  1. Travel Coordination:
    • Arrange travel itineraries, accommodations, and transportation.
    • Prepare travel expense reports and ensure timely reimbursement.

  1. Administrative Tasks:
    • Prepare meeting agendas, minutes, and presentation materials.
    • Manage confidential documents, files, and reports.
    • Maintain an organized filing system for quick access to documents.

  1. Project Management:
    • Assist with the planning and execution of projects and initiatives.
    • Track progress, manage deadlines, and communicate updates to stakeholders.

  1. Event Planning:
    • Organize corporate events, team-building activities, and off-site meetings.
    • Ensure all logistical and operational details are managed efficiently.

  1. Relationship Management:
    • Build and maintain strong relationships with clients, stakeholders, and team members.
    • Act as a liaison between the executive and other departments or external entities.

  1. Problem-Solving:
    • Anticipate needs and provide proactive solutions to challenges.
    • Handle urgent matters and crises with sound judgment and discretion.

  1. Expense Management:
    • Manage budgets, process invoices, and track expenditures.
    • Reconcile credit card statements and ensure accuracy in financial reporting.

  1. Miscellaneous Duties:
    • Perform personal tasks for the executive as needed.
    • Adapt to dynamic priorities and ad hoc requests.


Qualifications:

  1. Education and Experience:
    • Master degree in Business Administration, Communications, or a related field (preferred).
    • Minimum of 5 years experience as an executive assistant or in a similar role.

  1. Skills and Competencies:
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication abilities.
    • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
    • Ability to maintain confidentiality and demonstrate discretion.
    • High attention to detail and problem-solving skills.

Work Environment:
