Process Coordinator

Role & responsibilities

1. Workflow Management:

• Oversee the daily workflow and productivity of employees.
• Ensure that processes are being followed and work is being completed on time.
• Identify bottlenecks and areas for improvement in the workflow.

2. Monitoring Employee Work:

• Use FMS sheets to track
• Ensure accuracy and timeliness in data entry and updates in FMS sheets.
• Generate regular reports on employee performance and process adherence.

3. Issue Resolution:

• Identify problems in the workflow and coordinate with department specific problem solvers to address and resolve issues promptly.
• Maintain a log of issues and their resolutions to track recurring problems and their solutions.

4. Scheduling and Meetings:

• Schedule regular meetings with the Managing Director (MD) to align employee work and discuss workflow improvements.
• Prepare agendas, documents, and presentations for meetings.
• Ensure follow up on action items discussed in meetings.

5. Communication and Coordination:

• Act as a Coordinator between different departments to ensure smooth communication and coordination.
• Ensure that all team members are informed about their responsibilities and deadlines.

6. Process Improvement:

• Continuously analyze current processes and workflows to identify opportunities for improvement.

7. Documentation and Reporting:

• Maintain comprehensive documentation of processes, workflows, and standard operating procedures (SOPs).
• Prepare and present detailed reports on workflow performance, issues, and improvements to senior management.
• Ensure that all documentation is up to date and easily accessible.

8. Risk Management:

• Identify potential risks in workflows and processes.
• Develop contingency plans to mitigate risks.
• Monitor the effectiveness of risk management strategies and adjust them as necessary
