Role & responsibilities
Candidate will be responsible for ensuring handling of payment escalations within an 8AM to 5PM EST window, from a client specific mailbox or as directed by the team lead.
Candidate will be required to review the e-mail, past due/disconnection notice, payment reject notice, deposit request, payment request, or other inquiries from the client, vendors, or other client internal groups. The review process will include determining whether the related account(s) are for the client and, if they are, that they are in a valid status. This is accomplished by reviewing the Bill to Name and checking the status of the account in the Bill Trak system. After it is determined to be valid, candidate will be responsible for determining whether payment has already been made by checking BillTrak (Invoice Processing), APEX (Payment) system, vendor portal (if available), and, if needed, a discussion with a vendor representative. Vendor portal info is housed in a separate system called Website Manager (DART). If it is determined that payment is needed, then candidate will make payment by credit card or by opening up a ticket in the APEX system for the payment partner to pay. In rare cases, the candidate will fill out and submit a form in the case where payment is required by cashiers check or money order.
If a payment is made, then the candidate will be required to document the payment in the Payment Tracker tool and, if required, in the APEX system. In addition, as part of the review process candidate will validate the account is going to the proper address, obtain an invoice copy if one is not present in the Bill Trak system, and notify Vendor Management if there is no vendor portal for the account.
Preferred candidate profile
Essential: Written and Verbal Communication skills, Attention to detail
Desirable: Excel skills, Prior Invoice Processing, Collection, Utility, or Customer Service experience
Academic Criteria: Associates Degree or better
