Sales Operations Analyst

Key Responsibilities:

CRM Data Management & Maintenance:

  • Regularly audit CRM data for accuracy and completeness.
  • Assist in cleaning up duplicate records and outdated information.
  • Provide CRM user support for basic troubleshooting and day-to-day usage questions.
  • Assist in creating and managing CRM reports and dashboards under guidance.

Sales Reporting Support: -

  • Generate weekly and monthly sales reports highlighting pipeline status, sales activity, and forecast accuracy.
  • Support the development of simple analytical reports as directed by the VP of Sales.
  • Ensure timely distribution of standardized reports to the sales team and leadership.

Sales Incentive Plan (SIP) Administration:

  • Help track sales team performance against incentive plans.
  • Assist in compiling incentive payout data for review and approval.
  • Provide administrative support to communicate SIP changes clearly to the sales team.

Proposal & RFP Coordination:

  • Support BDMs by maintaining and updating proposal templates and sales collateral.
  • Ensure accurate SKU and service description information is easily accessible.
  • Organize and archive completed proposals and RFP responses in a centralized repository.

Meeting & Communication Coordination: - Trying to leverage Co-Pilot & ChatGPT for this but not there yet.

  • Schedule and manage logistics for sales meetings and training sessions.
  • Prepare agendas and distribute meeting notes with clear follow-up actions.
  • Provide administrative support for executive sales presentations and team communications.

General Administrative Support:

  • Assist with onboarding new sales team members and coordinating training schedules.
  • Help organize internal sales training materials and resources.
  • Maintain internal documentation related to sales processes and procedures.

Required Skills & Experience:

Technical Skills:

  • Basic proficiency in CRM systems (Salesforce, HubSpot, Dynamics, or similar).
  • Competence in Microsoft Excel and other Office applications (PowerPoint, Word).
  • Comfortable learning new software tools and systems quickly.

Analytical and Organizational Skills:

  • Strong attention to detail, data accuracy, and organizational ability.
  • Capable of generating and interpreting basic sales reports.

Communication and Teamwork:

  • Clear verbal and written communication skills.
  • Team-oriented attitude, able to support multiple internal stakeholders effectively.

Experience Level:

  • 1-2 years in an administrative, sales support, or entry-level sales operations role preferred.
  • Experience with sales or customer relationship management preferred but not mandatory.

Educational Background:

  • Associate's or Bachelors degree preferred, ideally in Business, Marketing, or related fields.

Personal Attributes:

  • Highly organized, proactive, and eager to learn.
  • Ability to manage multiple tasks simultaneously with guidance and supervision.
  • Positive attitude and flexible approach to tasks.
