Job Description

We are looking for a detail-oriented and proactive Associate Program Manager to support our course creation, instructor engagement, and content management initiatives. The role involves managing digital course platforms, ensuring high-quality content delivery, and coordinating various operational tasks with internal teams. The ideal candidate should be tech-savvy, highly organized, and capable of handling multiple projects simultaneously.

In addition to these responsibilities, you will work to update, post, distribute and circulate media and marketing content, including through the content maintenance, SEO and related coordination of WordPress websites used by the company.  No prior WordPress knowledge is required (although useful).

Key Responsibilities

Instructor & SME Management:

  • Source, onboard, and manage Subject Matter Experts (SMEs) for various courses.
  • Maintain and update SME profiles to ensure a professional and updated presence.
  • Generate and manage Work Orders (WO) for SMEs on behalf of the Engagement Manager (EM).
  • Gather and track SME feedback to improve content quality.

Course Development & Content Management:

  • Set up new courses on Opportunity Management (OM) by defining requirements, structure, and content needs.
  • Prepare and submit course lists to the Tech Team for bulk course creation.
  • Organize and manage SharePoint course batch folders and link them to the Starweaver platform.
  • Support post-production tasks to ensure high-quality course delivery.

Platform & Logistics Coordination:

  • Ensure smooth course setup and content upload on different platforms for Coursera, Udemy, Thinkific, linkedin learning, Go1, Future Learn and Starweaver.
  • Track and update course delivery schedules, ensuring timely execution.
  • Update course logistics based on inputs from Instructional Designers (IDs) and Engagement Managers (EMs).

Marketing & Communication:

  • Manage email marketing campaigns to engage SMEs and learners.
  • Support Udemy promotions, creating promotional content, and scheduling course blasts.
  • Add learner links for marketing videos to track engagement.
  • Assist in creating competitor insights reports for clients and internal managers.

Feedback Monitoring & Reporting:

  • Track course feedback and ratings on Coursera, Udemy, LinkedIn, Go1, FutureLearn, Starweaver and multiple other distributor and partner platforms, ensuring continuous improvement.
  • Generate tracking reports with visual analysis in Excel.k
  • Compile insight reports to monitor and enhance course performance.
  • Assist in forecasting and closeout reports for ongoing and upcoming courses to invoice the clients.

Administrative & General Support:

  • Assist Engagement Managers (EMs) with administrative tasks and project coordination.
  • Coordinate with Coursera contacts via Slack and email for platform-related concerns.
  • Schedule meetings and events using Calendly for internal teams and leadership.
  • Conduct platform training sessions for team members.
  • Handle mail merges and improve efficiency in communications.
  • Research and coordinate courier services for physical materials when needed.
  • Support the Tech Team in identifying and troubleshooting platform issues.

Required Qualifications:

  • Bachelors degree in Business, Marketing, Communications, or a related field.
  • Strong project management, organizational, and problem-solving skills.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Experience with CRM tools, email marketing, data management, and content platforms is a plus.
  • Proficiency in Excel (intermediate), SharePoint, and willingness to learn and work on client platforms.
  • Strong communication skills, both written and verbal.
  • Self-motivated with a keen eye for detail and a proactive approach.
