Role & responsibilities

Key Responsibilities:

1. Operational Management:

  • Oversee and coordinate daily operations to ensure business goals and targets are met.
  • Assist in the development and implementation of operational policies and procedures.
  • Monitor and evaluate operational performance, identify inefficiencies, and propose solutions.
  • Track key performance indicators (KPIs) and ensure operations stay within budget.
  • Ensure compliance with internal policies and external regulations (industry standards, safety protocols, etc.).

2. Resource Management:

  • Ensure proper allocation and utilization of resources (staff, equipment, technology).
  • Manage inventory and supplies, ensuring that the necessary resources are available for daily operations.

3. Process Improvement:

  • Analyze operational processes and workflows, identifying areas for improvement.
  • Work with different departments to implement process enhancements that optimize efficiency.
  • Develop and monitor action plans to reduce operational costs without compromising quality.

4. Coordination & Communication:

  • Serve as the liaison between various departments to ensure seamless communication.
  • Coordinate activities across teams to ensure projects and tasks are completed on time.
  • Prepare and distribute regular operational reports to management for review.
  • Handle any operational issues that arise, troubleshoot, and resolve them efficiently.

5. Customer Service Support:

  • Support the customer service team by ensuring timely delivery of products/services.
  • Help resolve any operational issues that affect customer satisfaction.
  • Ensure that customer orders are fulfilled accurately and on time.

6. Data Management & Reporting:

  • Collect and analyze operational data to assess productivity and efficiency.
  • Prepare reports on operational performance, highlighting successes and areas for improvement.
  • Ensure that all operational documentation is accurate, up-to-date, and easily accessible.

Skills and Qualifications:

  • Education: A bachelor's degree in Business Administration, Operations Management, or a related field is typically required.
  • Experience: Previous experience in operations management or a similar role, preferably in the industry the company operates in.
  • Technical Skills: Proficient in using office software (Microsoft Office Suite, Google Workspace), enterprise resource planning (ERP) systems, and other operational tools.
  • Analytical Skills: Ability to analyze operational processes and suggest improvements.
  • Problem-Solving: Strong troubleshooting skills and ability to find effective solutions to operational challenges.
  • Communication Skills: Excellent written and verbal communication skills for liaising with internal teams, vendors, and external partners.
  • Organizational Skills: Strong attention to detail and ability to manage multiple tasks and projects simultaneously.
  • Leadership: Ability to supervise and guide junior staff in the operational department.
  • Time Management: Ability to prioritize and manage time effectively, ensuring deadlines are met.
