Reporting to: Assistant Manager (International Sales)
Job Summary:
We are looking for a reliable and detail-oriented Back Office Operation Executive to support the organization in managing administrative and operational tasks efficiently. The role involves handling data, maintaining records, and ensuring the smooth execution of backend processes.
Key Responsibilities:
Data Management & Reporting

• Maintain and update records, databases, and documentation.
• Prepare accurate and timely reports for management.
• Verify and validate data to ensure consistency and accuracy.

Administrative Support

• Coordinate with front-office staff and other departments for seamless operations.
• Handle correspondence, emails, and documentation.
• Assist in preparing presentations, spreadsheets, and other materials.

Process Management

• Ensure compliance with company policies and operational standards.
• Monitor and improve workflow efficiency.
• Identify operational issues and recommend solutions.

Customer Support Coordination

• Assist in resolving customer queries by coordinating with relevant departments.
• Ensure all client or customer data is handled with confidentiality.

Inventory & Logistics

• Track inventory and manage supply chain-related documentation.
• Coordinate with vendors and logistics teams to ensure timely delivery.

Compliance & Record-Keeping

• Ensure proper filing and management of records as per company policies.
• Support internal and external audits by providing necessary data.

Qualifications:

• Bachelor’s degree in Business Administration, Commerce, or a related field.
• 1-3 years of experience in back-office operations or a similar role (preferred).
• Proficiency in MS Office tools, particularly Excel, Word, and PowerPoint.

• Good communication and interpersonal skills.
• Problem-solving mind-set with the ability to work independently.
• Familiarity with ERP or database management systems (preferred).
