Role & responsibilities
1. Facility Management & Administration:
- Oversee the management and maintenance of facilities and administration of offices and branches based in the North zones, ensuring adherence to all safety, cleanliness and operational standards within the premises.
- Manage various admin functions including facilities management, office maintenance, housekeeping services, security services, and property identification.
- Develop and implement facility management strategies and implement administrative policies / procedures to enhance operational efficiency and sustainability across the regions.
- Manage relationships with vendors and service providers for facility maintenance and repairs and ensure resolution of issues raised by the employees/ identified by the team within agreed TAT.
- Ensure compliance with health, safety, and environmental regulations and standards.
- Supervise administrative operations across the regions, including office management, record-keeping, and support services.
- Manage a team of administrative staff and third party logistics staff.
- Manage office supplies, equipment, and inventory, ensuring effective resource utilization.
- Monitor and manage regional administrative budgets, tracking expenditures and ensuring cost-efficiency.
- Monitor vendors and service providers performance regularly to ensure quality of service/ delivery within specified timelines.
2. Coordination & Communication:
- Serve as the main point of contact for facilities & administration in the assigned zones, and procurement-related issues centrally.
- Collaborate with various departments and senior management to ensure alignment of facility, administrative, and procurement strategies.
- Prepare and present reports on facility management, administrative operations, and procurement activities.
- Facilitate effective communication and coordination between internal teams and external vendors.
- Have the capability to motivate and supervise, ensure goals and targets are met and KRAs are clearly defined, Ensure team meets the defined SLAs for all administration services.
3. Compliance & Risk Management:
- Ensure that systems and procedures as laid down by management are strictly complied with & to also provide inputs for possible improvements in the service.
- Organize, analyze, interpret and evaluate results and provide practical cost-effective solutions.
- Identify and negotiate with new vendors, managing yearly increments and invoice cycles.
- Ensure compliance to statutory norms and requirements required for smooth functioning of services and office.
- Accountable for internal and external administration audit.
Qualification & Experience:
- Minimum of 10-12 years of experience in facility management & administration roles of managing teams across zones/regions preferably with a BFSI / NBFC / HFC organization with a strong and distributed branch network across states.
- Demonstrated leadership and cost management skills.
- Strong understanding of procurement processes & managing central contracting of goods and services.
- Proven leadership skills with the ability to manage and motivate a team across multiple regions.
