Position: Receptionist
Role Overview:
The Front Office Executive/Receptionist will serve as the first point of contact for visitors and
clients, ensuring apositive and professional impression of Rockworth International. This role
involves managing the front desk.
Operations, handling administrative tasks, and supporting office management functions to
facilitate smooth workflowand a welcoming environment.
Responsibilities:
• Front Desk Management:
Greet and welcome visitors, clients, and employees in a courteous and professional manner.
Ensure the reception area is well-maintained,organized, and reflects the companys standards.
• Visitor Management:
Register guests and issue visitor badges.
Notify relevant staff of visitor arrivals and guide guests to appropriate locations as required.
Maintain a record of incoming and outgoing guests for security purposes.
• Call Handling:
Answer incoming phone calls promptly, screen calls, and route them to appropriate
personnel or departments.
Provide accurate information to inquiries about the companys products and services.
Manage and respond to emails or forward them to relevant departments as needed
Mail and Courier Management:
Handle incoming and outgoing mail and courier services.
Coordinate with vendors to manage courier dispatches and deliveries efficiently.
• Compliance & Security:
Adhere to safety and security protocols, ensuring visitor compliance with company policies.
report any security or maintenance issues promptly to relevant departments.
Key Skills and Qualifications:
Educational Qualification: Bachelor’s degree or equivalent experience in a similar role.
Experience: 1-3 years of experience in a front office, administrative, or customer-facing role
preferred.
Communication Skills: Strong verbal and written communication skills with proficiency in English.
Technical Skills: Proficient in MS Office (Word, Excel, PowerPoint)
Interpersonal Skills: Warm, friendly personality with a professional demeanour, excellent
organizational skills, andthe ability to handle multitasking.
Time Management: Ability to prioritize tasks and work efficiently under pressure.
Customer Orientation: Customer service mindset with strong problem-solving skills.
Appearance: Well-groomed, presentable, and adherent to company standards.
