About the Position The Sr. Associate Programs will play a key role in supporting non-technical program operations, including managing logistics, coordinating with vendors, maintaining equipment, and assisting teams in day-to-day programmatic activities. The ideal candidate will have excellent organizational, people management, and Excel skills to manage diverse responsibilities efficiently.
Responsibilities Program Coordination :
- Provide general support for the smooth execution of projects, including scheduling, resource allocation, and team coordination.
- Act as a point of contact for internal teams and external vendors.
Logistics Management :
- Plan and oversee logistics for events, training sessions, and project implementation activities.
- Ensure timely procurement, delivery, and setup of required equipment and materials.
Vendor Coordination :
- Liaise with vendors to negotiate contracts, finalize agreements, and monitor service delivery.
- Maintain a database of reliable vendors and suppliers for recurring needs.
Team Support :
- Assist teams with operational needs, including travel arrangements, meeting coordination, and material preparation.
- Ensure all teams have the tools and resources required to execute their work effectively.
Data and Reporting :
- Maintain detailed records of project activities, expenditures, and logistics.
- Use Excel to manage databases, track project metrics, and create reports.
Quality Assurance :
- Regularly review project processes to ensure compliance with organizational standards.
- Conduct follow-ups with teams and vendors to address and resolve any issues.
Stakeholder Engagement :
- Build and maintain relationships with key project stakeholders, including partners, funders, and beneficiaries.
- Coordinate meetings, calls, and updates to keep stakeholders informed of project progress.
- Bachelor s degree in Business Administration, Social Work, or a related field.
- 1 3 years of experience in program coordination, logistics management, or a similar role.
- Proficiency in Microsoft Excel and other MS Office tools.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Experience working in the social sector or with non-profits.
- Familiarity with vendor management and procurement processes.
- Basic understanding of project management tools and methodologies.
