Front Office Cum Floor Executive Manager (Female)

Role & responsibilities

• Front Desk Management: Greet and welcome clients, visitors, and employees in a courteous and professional manner. Manage the reception area, ensuring it is clean, organized, and well-presented. Maintain knowledge of company operations and services to effectively answer inquiries.
• Phone and Email Communication: Answer and transfer phone calls to the appropriate staff members. Monitor and manage general company email accounts, forwarding messages as necessary.
• Scheduling and Appointments: Schedule and confirm appointments, meetings, and conference room bookings. Assist in maintaining appointment calendars for various departments.
• Administrative Support: Provide administrative assistance to different departments as needed, including data entry, filing, and document preparation. Manage and distribute incoming and outgoing mail and packages. Provide administrative support across departments.
• Security and Access Control: Monitor and maintain visitor logs, ensuring security protocols are followed. Issue visitor badges and access cards, as necessary.
• Floor Management: Ensure efficient management of the library, washroom, pantry stock, and office inventory. Create expense records and ensure optimum utilization of resources.

Preferred candidate profile

• High school diploma or equivalent; additional education or certification in office management or a related field is a plus.
• Previous experience in a similar receptionist or administrative role is preferred.
• Excellent communication and interpersonal skills.
• Proficiency in using office equipment, such as multi-line phone systems, copiers, and printers.
• Strong organizational and time management abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• A professional and friendly person with a customer-centric attitude.
