Profile:
The Accounts Payable (AP) Executive is responsible for managing and processing vendor invoices, ensuring accurate and timely payment of company liabilities. This role involves maintaining compliance with internal policies, resolving discrepancies, and maintaining vendor records.
Job Duties:
Key Responsibilities:
1)Invoice Processing:
a) Review and verify invoices for accuracy, appropriate documentation, and approval.
b) Enter invoices into the accounting system.
c) Ensure correct coding of invoices to general ledger accounts.
2)Vendor Payments:
a) Schedule and process payments (checks, ACH, wire transfers) in a timely manner.
b) Reconcile payment discrepancies with vendors.
c) Maintain a record of all payments and ensure proper filing.
3)Reconciliation:
a) Perform monthly reconciliation of accounts payable ledger to general ledger.
b) Reconcile vendor statements and resolve outstanding balances.
c) Perform daily, weekly, and monthly reconciliations of bank accounts against internal records.
d) Identify discrepancies, investigate the root causes, and resolve variances promptly.
e) Monitor and track outstanding items such as uncashed checks or pending deposits.
4)Expense Reports:
a) Review and process employee expense reports.
b) Verify compliance with company travel and expense policies.
5)Compliance and Reporting:
a) Ensure adherence to tax regulations and proper documentation for audits.
b) Assist in preparing accounts payable-related reports and analyses.
c) Participate in internal and external audits as needed.
Qualifications:
1) Education: Bachelors degree in accounting, Finance, or related field/M.COM (preferred).
2) Experience:
a) 2-4 years of experience in accounts payable or general accounting.
b) Experience with accounting software (e.g., Tally, Zoho or similar).
3) Skills:
a) Strong understanding of accounts payable processes and accounting principles.
b) Proficiency in Microsoft Excel and other MS Office tools.
c) Excellent organizational and time-management skills.
d) High attention to detail and accuracy.
e) Strong analytical and problem-solving skills.
f) Effective written and verbal communication abilities.
