Job Description

Key Responsibilities:


  1. Administration and Operations:
    • Oversee the daily operations of the Cooperative Housing society, ensuring all facilities are maintained to a high standard.
    • Manage society records, including membership details, society bylaws, and meeting minutes.
    • Handle document preparation, filing, and maintenance of compliance documents, adhering to cooperative housing society regulations.
    • Ensuring that all SOPs are adhered to in full and in right spirit.
    • Has reasonably good knowledge of operating computer and has hands-on experience in handling MS Office tools like MS Excel, MS Words, and Outlook.

2. Financial Management:

    • Oversee financial activities, including budgeting, accounting, and expense management.
    • Effectively manage Common Area Maintenance (CAM) billing and collections, ensuring timely payments
    • Effectively manage periodic Common Maintenance Billing and collections, and review it for any errors and corrections required.
    • Coordinate with the auditor for yearly audits, financial statement preparation, statutory filings in time including Income Tax Returns.

3. Vendor and Staff Management:

    • Supervise society staff, including security personnel, housekeeping, and maintenance staff, ensuring efficient and professional service.
    • Keep track of their attendance, and liaison with the contactors if there is any absenteeism
    • Liaise with vendors and contractors for society maintenance, repairs, and upgrades

4. Resident Relations:

    • Serve as the primary point of contact for resident queries, complaints, and suggestions.
    • Organize and attend society meetings, ensuring effective communication with residents on society matters.
    • Efficiently prepare minutes of all Society meetings and sharing of those meetings with the right stakeholders in time
    • Coordinate community events and initiatives to foster a positive and cooperative living environment.

5. Legal and Compliance:

    • Ensure compliance with Maharashtra Cooperative Societies Act and all applicable municipal regulations.
    • Address legal matters, such as disputes or notices, in consultation with legal advisors.

Requirements:

  • Experience: Minimum 5-7 years of experience in society management, facility management, or a related field.
  • Education: Graduate in any field (relevant certifications in housing or property management are an advantage).

Preferred candidate profile

  • Strong administrative and organizational skills.
    • Proficiency in financial management and budgeting.
    • Effective communication and interpersonal skills to handle resident relations.
    • Knowledge of cooperative society rules, legal compliance, and municipal regulations.
    • Ability to manage conflicts and resolve issues diplomatically.
    • Manage good rapport with the Management Committee and excellent personal and professional relationship with Secretary, Chairman and Treasurer.
