Job Description

The Assistant to the Head of Department (Company Secretary Chartered Accountant) will play a crucial role in supporting the compliance and finance-related activities of the startup. The role involves assisting in the preparation of financial statements, MIS reports, and compliance documentation while ensuring smooth day-to-day operations in line with company processes. The assistant will be responsible for handling a variety of tasks related to corporate governance, statutory compliance, financial management, and administrative support.

Key Responsibilities:
1. Compliance Management Support:
  • Assist in the drafting and filing of legal documents related to company formation and compliance.
  • Handle day-to-day company secretarial work, including maintaining and updating corporate records and documentation.
  • Support the preparation and filing of statutory reports and forms with regulatory bodies (ROC, MCA, etc.).
  • Research Companies Laws, regulations, and corporate governance issues to ensure ongoing compliance.
  • Assist in preparing and updating corporate governance documents, such as resolutions, minutes, and policies.
2. Financial Management Support:
  • Assist in the preparation, reconciliation, and analysis of financial statements, ensuring accuracy and compliance with accounting standards.
  • Support in the preparation of budgets, forecasts, and financial reports for internal and external stakeholders.
  • Handle GST filings, manage tax-related notices, and assist in direct and indirect tax compliance.
  • Participate in internal and statutory audits, assisting in the preparation of audit schedules and reports.
  • Maintain and update fixed asset records, including asset registers and depreciation schedules.
3. Administrative and Operational Support:
  • Coordinate and schedule meetings, prepare agendas, and take minutes during board meetings, committee meetings, and other corporate events.
  • Provide general administrative support, including drafting correspondence, organizing documentation, and managing records.
  • Collaborate with various departments to gather and analyze financial data, supporting the preparation of MIS and compliance reports.
  • Assist in handling client queries, providing necessary support during audits, and ensuring smooth communication between departments.
4. Strategic and Ad-Hoc Tasks:
  • Work closely with the Head of Department to implement strategic initiatives related to finance and compliance.
  • Assist with ad-hoc projects and tasks as required by the Founders Office and senior management.
  • Stay updated on changes in tax laws, accounting standards, and regulatory requirements to ensure the company s compliance and financial accuracy.

Qualifications:
  • Educational Background: Bachelor s degree in Commerce, Finance, Accounting, or a related field. CA/CS qualification (either completed or in progress) is preferred.
  • Experience: 1-3 years of experience in company secretarial work, financial management, or a related field, preferably within a startup environment.
  • Skills:
  • Strong knowledge of corporate governance, statutory compliance, and financial management principles.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and accounting software.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
