Job Description

The Facility Associate is responsible for the efficient operation, maintenance, and overall management of all building facilities and systems.

This role includes overseeing daily activities, ensuring the safety and functionality of the premises, and managing various vendor and maintenance contracts.

The Facility Associate will also coordinate with various departments to provide a safe, clean, and operational working environment for employees and visitors.

Facility Operations: Oversee the day-to-day operations of the building/facilities, ensuring smooth functioning of HVAC, plumbing, electrical, and other critical systems.

Maintenance & Repairs: Develop and implement a preventative maintenance plan for all facilities and equipment. Ensure timely repairs and upgrades to minimize operational disruptions.

Health and Safety Compliance: Ensure the facility adheres to all relevant health, safety, and environmental regulations. Maintain records and documentation of safety inspections, emergency procedures, and compliance certifications.

Vendor Management: Manage relationships with external service providers, including maintenance, janitorial services, security, landscaping, and contractors. Ensure contracts are executed effectively and within budget.

Budgeting & Cost Control: Prepare and manage the facilities budget. Identify cost-saving opportunities and implement efficient processes without compromising quality or safety.

Space Planning and Allocation: Oversee the space allocation and office layout to meet organizational needs, ensuring optimal use of available space.

Emergency Preparedness: Develop and implement emergency response protocols for fire, flood, and other incidents. Coordinate drills and ensure all employees are trained.

Sustainability Initiatives: Drive green initiatives to reduce energy consumption, minimize waste, and improve environmental impact. Explore renewable energy solutions and other sustainable practices.

Reporting: Regularly report to senior management on facility performance, including maintenance, expenses, and any issues requiring attention.
