Job Description

Job Summary:
The Stores & Purchase Executive is responsible for overseeing the procurement, storage, and inventory management of medical devices and related materials. The role requires effective coordination with suppliers, ensuring timely delivery of products, maintaining accurate stock levels, and managing warehouse operations. The ideal candidate should have experience in inventory control, supply chain management, and an understanding of medical device industry regulations.

Key Responsibilities:

  1. Inventory Management:
    • Monitor inventory levels and ensure the availability of materials.
    • Maintain accurate records of stock in the warehouse and perform regular stock audits.
    • Implement inventory control measures to avoid stockouts, overstocking, or expiry issues.
    • Organize and store medical products safely, complying with medical storage requirements (temperature control, segregation, etc.).
    • Regularly update and maintain inventory management software systems.
  2. Purchasing & Procurement:
    • Coordinate with suppliers to purchase medical devices, tools, and accessories required for company operations.
    • Evaluate and select suppliers based on quality, price, and delivery capabilities.
    • Negotiate terms and prices with vendors, ensuring the best value for the company.
    • Ensure timely ordering and replenishment of inventory to avoid operational disruptions.
    • Handle purchase orders, order confirmations, and follow up on deliveries.
  3. Supplier Coordination & Management:
    • Build and maintain strong relationships with suppliers and vendors.
    • Ensure timely delivery of products and resolve any supply chain disruptions or delays.
    • Communicate with suppliers regarding quality issues or discrepancies in orders and resolve them promptly.
  4. Documentation & Compliance:
    • Maintain all necessary purchase and inventory documentation (purchase orders, delivery receipts, invoices, stock reports).
    • Ensure that all procurement activities comply with company policies, industry regulations, and quality standards.
    • Support regulatory audits and ensure that all inventory is compliant with medical device industry standards and requirements (e.g., FDA, ISO).
  5. Warehouse & Stock Management:
    • Oversee proper organization and cleanliness of the warehouse and storage areas.
    • Ensure that inventory is stored in a safe and secure manner, reducing the risk of damage or loss.
    • Implement proper tracking of incoming and outgoing shipments, and ensure that items are delivered to the correct locations.
    • Conduct regular cycle counts and full physical inventory checks to ensure accurate stock levels.
  6. Reporting & Analysis:
    • Prepare and submit regular reports on inventory levels, stock movement, and procurement activities to senior management.
    • Analyze inventory turnover rates and suggest improvements for efficiency in stock management.
    • Identify slow-moving or obsolete stock and develop strategies to reduce wastage or dispose of it appropriately.
  7. Collaboration with Other Departments:
    • Work closely with the sales, marketing, and production teams to forecast inventory needs and adjust orders accordingly.
    • Collaborate with the quality assurance team to ensure that all medical devices in inventory meet the necessary quality standards.

Key Skills and Qualifications:

  • Education: Bachelors degree in Supply Chain Management, Business Administration, or related field (preferred).
  • Experience: Minimum of 2-3 years of experience in stores and purchasing, inventory management, or a similar role in a medical device or healthcare setting.
  • Knowledge:
    • Understanding of medical device regulations, including quality and safety standards.
    • Familiarity with inventory management systems (ERP, SAP, etc.).
    • Basic knowledge of procurement processes and supply chain management.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Attention to detail and accuracy in inventory management.
    • Excellent communication and negotiation skills.
    • Problem-solving and conflict-resolution abilities
