Role :Assistant Manager - Admin & Facility

Role Overview:
- The Assistant Manager - Admin & Facility will be responsible for the smooth and efficient operation of our office facilities and administrative functions.
- This role requires a proactive individual with excellent organizational skills, a strong understanding of facility management, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
Facility Management:
- Oversee the maintenance and upkeep of office premises, including furniture, equipment, and infrastructure.
- Manage vendor relationships for services such as cleaning, security, repairs, and maintenance.
- Ensure compliance with safety regulations and maintain a safe and healthy work environment.
- Manage office space planning and renovations as needed.
- Oversee the procurement and inventory management of office supplies and equipment
- Negotiate contracts with vendors and ensure cost-effectiveness.
Administration:
- Manage day-to-day administrative operations, including reception, mail handling, and courier services.
- Support HR with onboarding processes, employee record management, and other administrative tasks.
- Manage travel arrangements and logistics for employees.
- Assist with event planning and coordination.
- Manage office budgets and track expenses.
- Implement and maintain administrative policies and procedures.
- Handle any other related tasks as assigned by the supervisor.
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or a related field.
- 5-10 years of experience in administration and facility management
- Proven experience in vendor management and contract negotiation.
- Strong understanding of safety regulations and compliance requirements.
- Excellent organizational and time-management skills.
- Ability to multitask and prioritize effectively.
- Strong communication and interpersonal skills.
