Job Description (JD):

We are looking for a motivated and detail-oriented Assistant Manager – Project Billing to join our team. The role requires someone with a strong understanding of project billing processes, site coordination, and vendor management. The ideal candidate will be proficient in AutoCAD, possess excellent communication skills, and have the ability to manage and coordinate multiple stakeholders including clients, vendors, and team members.

Key Responsibilities:

1. Project Billing & Measurements: Responsible for preparing, managing, and verifying project billing and site measurements. Ensure accurate and timely submission of bills to clients and vendors. Track project progress and ensure billing aligns with the site’s physical progress.
2. AutoCAD Drafting: Utilize AutoCAD software for creating and modifying drawings related to billing and site management. Ensure all drawings are accurate and up-to-date for billing purposes.
3. Client Coordination: Liaise with clients to ensure timely delivery of project milestones and address any concerns regarding billing and project progress. Provide updates and maintain clear communication with clients regarding project status.
4. Vendor Coordination & Management: Manage relationships with vendors, ensuring smooth flow of materials and services required for the project. Ensure vendors deliver according to timelines and project specifications. Verify vendor invoices and track payments.
5. Team Coordination & Management: Work closely with internal teams, including engineers and project managers, to ensure alignment on project billing and progress. Coordinate activities between the on-site team and the office staff for seamless project execution.
6. Site Management & Coordination: Oversee site management activities to ensure work is progressing as planned. Perform site visits to verify measurements, monitor project progress, and ensure adherence to quality standards.
7. Documentation & Reporting: Maintain detailed records of project billing, client communications, site measurements, and vendor payments. Prepare regular reports on project billing status and progress.
