Role & responsibilities :
1. Effectively Manager EDs schedule:
a) Scheduling appointments, sending reminders,
b) Meeting scheduling, coordination and preparations
c) MOM and note taking
2. Meeting Coordination:
a) Plan and organize meetings,
b) prepare agendas, take minutes of meeting
c) ensure follow-up actions are communicated and executed.
3. Travel Management
a) Coordinate Domestic and International travel Itinerary planning
b) Ticket Booking,
c) Vehicle arrangement and transportation
d) Accommodation arrangement (Hotel booking)
e) Meeting places booking and local travel
4. Communication Handling: Act as the primary point of contact between the ED and internal/external parties, managing emails, calls, and other forms of communication.
5. Information Management: Handle confidential information with utmost care, prepare reports, presentations, and maintain organized records
6. Relationship Management: Build and maintain positive relationships with key stakeholders, both internally and externally
7. Visitor management
8. Hospitality Management for ED Office (Food and Beverages)
9. Upkeep & Maintaining ED Office -
a) Cleanliness and
b) Managing peon administration
c) Repairs & maintenance coordination with Admin Dept
10. Problem Solving: Address day-to-day challenges and solve problems independently or by consulting with the ED when necessary
Preferred candidate profile :
This role demands a high level of professionalism, discretion, and organizational skills to support the ED effectively and contribute to the overall success of the organization.
Graduate with fluency in English, Hindi & Gujarati.
Well-groomed personality
Preferred: Stenography
Experience: 8-10 Years in managing MD / CxO office
