Job Title: Assistant Manager - Human Resources
Job Overview:
The Assistant Manager - HR will support the HR department in implementing and maintaining effective human resources strategies and programs. This role will focus on enhancing employee relations, ensuring compliance with labor laws, and contributing to the overall organizational development in a manufacturing environment.
Key Responsibilities:
1. Recruitment and Selection:
- Assist in developing job descriptions and person specifications for various positions
- Coordinate with department heads to understand staffing requirements
- Source candidates through various channels (job boards, social media, employee referrals, etc.)
- Conduct initial screenings and shortlist candidates for interviews
- Organize and participate in interview panels
- Conduct background checks and reference verifications
- Prepare and extend offer letters to selected candidates
2. Onboarding and Orientation:
- Develop and implement an effective onboarding program for new hires
- Conduct orientation sessions to familiarize new employees with company policies, procedures, and culture
- Ensure all necessary paperwork is completed and maintained for new hires
3. Employee Relations:
- Act as a point of contact for employee queries and concerns
- Mediate and resolve conflicts between employees or between employees and management
- Conduct regular employee engagement surveys and analyze results
- Develop action plans to address issues highlighted in surveys
- Organize team-building activities and employee recognition programs
4. Performance Management:
- Assist in developing and implementing performance appraisal systems
- Train managers on conducting effective performance reviews
- Monitor the timely completion of performance appraisals
- Analyze performance data and provide insights to senior management
5. Training and Development:
- Identify training needs through job analysis, career paths, and individual development plans
- Design and coordinate training programs (both in-house and external)
- Evaluate the effectiveness of training programs and suggest improvements
- Maintain training records for all employees
6. Compensation and Benefits:
- Assist in conducting salary surveys and benchmarking studies
- Support the administration of the company's compensation and benefits programs
- Explain benefits plans to employees and resolve any issues or discrepancies
- Liaise with insurance providers and other external vendors
7. Employee Records and HRIS:
- Maintain accurate and up-to-date employee records in the HRIS
- Ensure data integrity and confidentiality of all employee information
- Generate reports on various HR metrics (headcount, turnover, absenteeism, etc.)
- Recommend improvements to the HRIS based on user feedback and department needs
8. Labor Law Compliance:
- Stay updated on changes in labor laws and regulations
- Ensure company policies and practices comply with all applicable laws
- Assist in handling disciplinary actions, grievances, and terminations in accordance with legal requirements
- Maintain required legal postings and documentation
9. Health, Safety, and Wellness:
- Collaborate with the Health & Safety team to promote a safe working environment
- Coordinate health and wellness initiatives for employees
- Assist in investigating and documenting workplace accidents or injuries
- Ensure compliance with occupational health and safety regulations
10. Budget and Administrative Tasks:
- Assist in preparing the annual HR budget
- Monitor HR-related expenses and ensure they are within budget
- Manage vendor relationships for HR services
- Prepare and submit various HR reports to senior management
Required Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field
- 7-8 years of experience in HR, preferably in a manufacturing setting
- Thorough knowledge of labor laws and HR best practices
- Proficiency in HRIS and Microsoft Office suite
- Excellent interpersonal, communication, and problem-solving skills
- Strong organizational abilities with keen attention to detail
- Ability to maintain confidentiality and handle sensitive information
Preferred Qualifications:
- Master's degree in Human Resources or MBA with specialization in HR
- Professional HR certification (e.g., SHRM-CP, PHR)
