Job Description

Key Responsibility Areas:

  • Ensure proper office routine like sending/ reporting attendance, late coming, leaves, unauthorized absence etc.
  • Send weekly report, monthly MIS, transaction reports, market reports, copies of communications / proposals / minutes of meetings and other internal and external communications to the management.
  • Ensure all team members including self perform their respective roles and responsibilities in an efficient, professional and diligent manner and the same is properly reported.
  • Ensure proper office up-keep including office premises, infrastructure and equipments.
  • Customer Relationship Management Developing and nurturing harmonious relationship with both new and existing clients.
  • Handling sales and operations of the entire team.
  • Driving sales initiatives to achieve business goals and target for self
  • Managing and assisting the frontline sales team to achieve their targets.
  • Making joint calls with Sales Team in the market for better coverage and market penetration.
  • Submitting the Proposals and closing transactions.
  • Forecasting and planning the sales targets.
  • Utilizing market information and personal network to develop marketing intelligence for generating leads.
  • Conducting competitor analysis by keeping abreast of market trends to achieve market share matrix.
  • Interacting with top management internally.
  • Recruiting people for the branch / team as and when required.
  • Developing relationships with key decision-makers in target organizations for business development.
  • Ensure that the branch / team operates smoothly- Responsibility includes achieving the branch / team target, ensuring that optimum human resources are available for all the services offered by the branch, right infrastructure is provided to the entire team.
  • Ensure that each member of the team is delegated optimum responsibilities and he / she achieves the functional and revenue target set.

  • Ensure that the team members receive the relevant training for the services offered by them.
  • Ensure, through the Human Resources department that the existing team members are appraised appropriately and new recruits receive their Appointment Letter / Confirmation Letter etc. in time.
  • Review the operations of the branch / team periodically with the Management and ensure that appropriate corrective actions are taken in time.
  • Send Management Information report periodically.

Key Responsibility Areas:

  • Customer Relationship Management – Developing and nurturing harmonious relationship with both new and existing clients.
  • Develop active relationship with assigned clients and maintain active relationship by way of personal meetings, telephone calls, interaction during any event like seminar, conference etc. To develop own customer base out of personal contacts, networking etc. When such relationship is established, to record the details and check with the company about any relationship we may have with such contact/organization.
  • Follow-up on enquiries- to diligently follow-up on all the enquiries generated. The lead is followed up in the following manner:

a. The MANAGER calls up and subsequently meets the contact person.

b. If meeting is not immediately possible, then the MANAGER sends an introductory letter/ e-mail with company brochure and follows-up for appointment

c. It is the MANAGER’s duty to explain Cityinfo Services profile and services offered on meeting the Client.

d. The MANAGER understands the Client’s requirements and starts sourcing an appropriate property if the client is convinced with the terms of services and fee components.

  • The MANAGER reports on a daily basis, in either case when the lead has materialized into a requirement or even if there is no progress.
  • Each Team holds periodic meeting, where each member reports the progress of work and discusses the new avenues of generating business.
  • Achieving Functional and Revenue Target –
  • Achieve Functional target in terms of meeting the clients, making presentations, collecting information about their expansion plan, reporting to the respective seniors, sending all the reports by e-mail and participating in all the review meetings.
  • Generate enquiries and follow-up with the enquiries generated by the company and assigned to the MANAGER. Response for the enquiry by way of proposal should be in quick time with a copy of all communications sent to the respective seniors. Each proposal should be personally whetted by the respective MANAGER - BUSINESS DEVELOPMENT and when the enquiries are large, the MANAGER - BUSINESS DEVELOPMENT should get the proposal whetted by his / her senior before delivering to the prospective client. The responsibility of delivering a correct, up-to-date, competitive and timely proposal relevant to the enquiry rests with the MANAGER.
  • Initiate inspections of proposed properties in consultation with the client and the property owner. Ensure that the inspections are conducted smoothly in terms of planning, punctuality, availability of keys / access to the premises etc. and generally ensure that both the Client and the property owners are well represented.
  • Assist the client in short-listing of properties and provide additional information about the short-listed properties.
  • Initiate and participate in negotiation meetings between the client and the owners of short-listed properties, send Minutes of Meeting (MoM) to all the concerned persons.
  • Assist the client and the property owner in finalizing the draft Letter of Intent based on the commercial lease terms agreed, co-ordinate for smooth legal due diligence, assist in finalizing the draft Lease Agreement and Lease Registration.
  • Raise necessary Invoice in accordance with the fees agreed and ensure that the payments are collected in time. The MANAGER is expected to procure the Fee Confirmation Letters from both the Company and the Landlords in accordance with Cityinfo’s standard fee structure. In case there is any deviation in the fee charged, the same must be duly approved in advance by the appropriate authority. The MANAGER is expected not to make any commitment to the Company / Landlords directly without formal approval.
  • Achieve the agreed Revenue target in terms of fees earned. The revenue potential of each transaction should be estimated at the beginning of the transaction by way of collecting Fee Confirmation communication by way of e-mail / letter and recording and communicating to the respective seniors.

Roles & Responsibilities:

  • Carry out extensive business development activities to create awareness of company’s activities in the target market.
  • Prospect and identify new clients.
  • Follow-up on enquiries assigned.
  • Being familiar with local real estate market.
  • Preliminary Inspection of all the Properties
  • Send Proposals to prospects / enquiries on hand
  • Arrange and Assist for Inspection of the Building
  • Arranging Meetings for Negotiations with the Landlords
  • Arrange and Assist in negotiations
  • Assist Drafting and Signing of Agreements
  • Assist in Final Inspection of the Building to takeover
  • Close the Transaction
  • Raise Invoice and Collection of payments receivable.
  • Generally, be a part of team by way of continuous interaction not only with the team members but with other colleagues at Cityinfo.
  • Adhere to all the policies and procedures of the company.
  • Not enter into any type of cash transaction with any party/ies.
  • Not make any commitment ( financial or otherwise ) to any third party without specific written consent from Cityinfo’s competent authority.
