Job Overview:The Branch Operations Senior Executive is responsible for overseeing and ensuring the efficient and smooth day-to-day operations of the branch. This role involves managing administrative functions, ensuring compliance with internal policies and regulations, coordinating with various teams, and ensuring exceptional customer service delivery. The Senior Executive will support the Branch Manager in executing strategies for operational excellence and contribute to the optimization of processes to improve branch performance.
Key Responsibilities:Branch Operations Management:Assist the Branch Manager in managing the overall operations of the branch, ensuring all processes run smoothly and efficiently.Coordinate day-to-day activities of branch operations including customer service, documentation, record-keeping, and logistics.Ensure the branch complies with company policies, regulatory requirements, and industry standards.Assist in managing operational tasks such as inventory management, cash management, and facility management.
Customer Service Excellence:Ensure high standards of customer service are maintained, addressing customer concerns and resolving issues promptly and professionally.Support the implementation of customer service initiatives aimed at improving the overall customer experience.Act as a point of contact for customers to resolve escalated service issues or queries.Monitor and review customer feedback, identifying opportunities to enhance service delivery.Compliance and Risk Management:Ensure all operations are in line with company policies, legal and regulatory requirements.Monitor and manage risk areas within the branch, including cash handling, security procedures, and adherence to compliance guidelines.Conduct regular audits and internal checks to ensure operational processes are followed correctly.
Team Support and Collaboration:Provide operational support and guidance to branch staff, ensuring smooth execution of their roles.Assist in training and onboarding new employees on operational procedures and branch-specific processes.Foster a collaborative working environment, ensuring all staff work effectively together to meet branch objectives.Process Improvement:Identify areas of improvement within the branchs operations, proposing and implementing solutions to enhance efficiency.Regularly review and streamline operational processes, ensuring workflows are optimized.Monitor and evaluate branch performance, working with the Branch Manager to set operational goals and track progress.Documentation and Reporting:Maintain accurate records of branch transactions, inventories, and other critical operational data.Prepare and submit regular operational reports to the Branch Manager and other senior leaders, highlighting key metrics and any issues.Manage and update branch documentation, ensuring proper filing, archiving, and retrieval of records as needed.
Collaboration with Other Departments:Work closely with other departments, such as Sales, Marketing, Finance, and HR, to ensure smooth collaboration and achievement of branch objectives.Assist in coordinating branch activities with central or regional teams, ensuring alignment with company goals.Facilities and Resource Management:Ensure the branchs physical infrastructure and resources (e.g., equipment, technology) are maintained and in good working order.Coordinate with vendors and service providers for any maintenance, repairs, or services required for branch operations.
Qualifications and Skills:Education:Bachelors degree in Business Administration, Operations Management, or a related field.Additional certifications or training in operations or branch management would be a plus.
Experience:Minimum 3-5 years of experience in branch operations, administrative support, or customer service roles.Experience in managing or supporting daily operational activities in a retail, banking, or financial services environment is preferred.Skills:Strong understanding of branch operations, administration, and compliance.Excellent communication, organizational, and interpersonal skills.Proficient in office software (e.g., MS Office Suite, CRM systems) and operational management tools.Ability to manage multiple tasks, prioritize, and work efficiently in a fast-paced environment.Problem-solving skills and attention to detail.Strong customer service orientation with a focus on operational efficiency.Personal Attributes:Proactive and self-motivated with a focus on achieving operational targets.Strong ability to work under pressure and meet deadlines.Collaborative team player who can effectively communicate and coordinate with various stakeholders.Integrity, professionalism, and a commitment to high standards of work.
