*Job Summary:*
The Administrative Assistant (Admin) is responsible for performing a variety of administrative and office support activities to facilitate the efficient operation of the office. This includes managing office supplies, assisting with scheduling, maintaining records, and coordinating office activities.
*Key Responsibilities:*
- Oversee daily office operations and ensure smooth functioning.
- Organize and schedule meetings, appointments, and conferences.
- Manage and coordinate office logistics and services (e.g., mail, phone systems, photocopying).
- Answer and direct phone calls, emails, and correspondence.
- Assist in preparing reports, presentations, and other written documents.
- Schedule meetings and appointments, ensuring availability of necessary resources and participants.
- Input, update, and maintain databases and records.
- Assist in preparing reports, documents, and presentations for management.
- Help with onboarding new staff members and maintaining personnel records.
- Process invoices and manage petty cash.
- Ensure office complies with health and safety regulations.
- Provide administrative assistance to other team members as needed.
- Manage or assist with special projects as assigned by leadership.
- Assist with HR-related tasks such as preparing documents for payroll, employee benefits, etc.
Key Responsibilities For 𝗚𝗿𝗮𝗽𝗵𝗶𝗰 𝗗𝗲𝘀𝗶𝗴𝗻𝗲𝗿
- Design engaging visuals for social media platforms (Facebook, Instagram, LinkedIn, etc.).
- Create banners, posters, infographics, and promotional materials.
- Collaborate with the marketing team to bring creative ideas to life.
- Maintain consistency in brand guidelines across all designs.
- Assist in developing new design concepts and layouts.
- Adapt designs based on feedback and suggestions.
*Skills and Qualifications:*
- Proven experience in an administrative or office management role.
- Strong organizational and multitasking skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint).
- Good communication and interpersonal skills.
- Ability to handle confidential information with integrity.
- Attention to detail and problem-solving skills.
- Time management and prioritization abilities.
*Education and Experience:*
- Associates or Bachelors degree in business administration, management, or a related field (preferred).
