Supervising the day-to-day operations of the administrative department and staff members.
Hiring, training, and evaluating employees HK staff and taking corrective action when necessary.
Developing, reviewing, and improving administrative systems, policies, and procedures.
Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.
Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses.
Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
Collecting, organizing, and storing information using computers and filing systems.
Overseeing special projects
Manage schedules and deadlines for admin facility requirements.
Overlooking Travel arrangements and ensuring travel policy is followed
Maintaining all trackers like the Admin Master sheet, Admin weekly catchup records, Vendor Management, AMCs sheet, and AOR sheet
Heading Weekly/monthly/Qtrly admin catchup, defining action points, Following up with each team member, and ensuring to get them done within the guidelines.
Following P2P processes for all admin-related procurements and ensuring that approvals are in place before taking any decision.
Reporting team updates, dept updates, feedback, concerns, etc to the manager and ensuring things are taken care of as per head of admin instructions
Bringing exclusive vendors on onboard for different requirements like gifting, HK procurements, stationary requirements, etc with a great deal of negotiation to bring the best in the industry to slice.
Implementing admin and facility management as per Compliances and regulations.
Understanding the cruciality of management and pushing the resources to get things done at the earliest within company boundaries.
What you will need
Experience in a related field, such as management or financial reporting, is preferred.
Exceptional leadership and time, task, and resource management skills and ability to prioritize tasks.
Strong problem-solving, critical thinking, coaching, interpersonal, and verbal and written communication skills and ability to collaborate with team members.
Proficiency with computers, especially MS Office.
Ability to plan for and keep track of multiple projects and deadlines.
Familiarity with budget planning and enforcement, human resources, and customer service procedures.
Impeccable organizational skills, a keen eye for detail, and the ability to spot errors with accuracy and efficiency.
