The Virtual Logistics Coordinator will remotely oversee and manage shipping operations, ensuring efficient and timely delivery of goods. This role involves coordinating with vendors, handling shipment documentation, managing data in spreadsheets, and maintaining clear communication to support seamless logistics processes.
Key Responsibilities:
Shipment Coordination:
Schedule and manage shipments with vendors and carriers remotely.
Track and monitor shipment progress, providing timely updates to clients and internal teams.
Label Creation:
Use shipping software to create and send accurate shipping labels for all outgoing shipments.
Ensure compliance with shipping and regulatory standards.
Vendor Management:
Research and obtain free quotes from vendors for freight and logistics services.
Negotiate competitive rates and ensure reliable vendor partnerships.
Documentation & Paperwork:
Prepare and manage digital shipment documents, such as bills of lading, invoices, and packing lists.
Ensure all documentation is accurate, compliant, and securely organized.
Spreadsheet Management:
Maintain and update shipment details, vendor information, and inventory records using spreadsheets (Excel or Google Sheets).
Generate regular reports on shipment status and performance.
Shipment Tracking:
Monitor shipments using online tracking tools and promptly address delays or issues.
Communicate shipment statuses and any concerns to relevant stakeholders.
Inventory Support:
Assist in remotely tracking inventory levels to ensure stock accuracy.
Identify and resolve discrepancies in digital records.
Process Coordination:
Collaborate virtually with warehouses, transport companies, and vendors to ensure smooth shipment operations.
Identify and recommend process improvements to streamline logistics tasks.
Qualifications & Skills:
Proven experience in logistics, shipping, or similar roles in a remote environment.
Proficiency in MS Excel, Google Sheets, and shipping software.
Strong organizational skills with keen attention to detail.
Excellent written and verbal communication skills.
Ability to multitask, prioritize responsibilities, and meet deadlines.
Self-motivated with the ability to work independently in a virtual setting.
Familiarity with online tracking tools and virtual communication platforms (Zoom, Slack, Teams).
