Job Summary:

We are seeking a detail-oriented and reliable Payroll Specialist to join our team. The Payroll Specialist will be responsible for processing payroll accurately and timely, ensuring compliance with payroll regulations, and providing excellent customer service to employees regarding payroll-related inquiries. The ideal candidate will have a strong understanding of payroll processes, tax regulations, and payroll software.


Responsibilities:


Payroll Processing: Process payroll for employees accurately and on time using payroll software (e.g., ADP, Paychex, or similar). Calculate wages, deductions, bonuses, and commissions based on timesheets, attendance records, and other relevant data. Tax Compliance: Ensure compliance with federal, state, and local payroll tax regulations. Prepare and submit payroll tax payments and filings, including quarterly and annual reports (e.g., Form 941, W-2, W-3). Stay updated on changes to tax laws and regulations.


Benefits Administration: Administer employee benefits, including health insurance, retirement plans, and flexible spending accounts. Deduct employee contributions from payroll and coordinate with benefits providers to ensure accurate and timely payments.


Timekeeping and Attendance: Maintain accurate records of employee hours worked, time off, and attendance. Review and approve timesheets, resolve discrepancies, and communicate with supervisors or managers regarding attendance issues.


Payroll Reconciliation: Reconcile payroll transactions and reports to ensure accuracy and completeness. Investigate and resolve discrepancies or errors in payroll processing.


Payroll Reporting: Prepare and distribute payroll reports to management and other stakeholders as needed. Provide analysis of payroll data, trends, and metrics to support decision-making.


Employee Support: Respond to payroll-related inquiries from employees promptly and professionally. Assist employees with payroll-related issues, such as direct deposit setup, tax withholding changes, and paycheck inquiries.


Compliance and Auditing: Assist with internal and external audits of payroll records and processes. Maintain documentation and records in accordance with company policies and regulatory requirements.


Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field (preferred).
  •  2+ years of experience in payroll processing or related role.
  • Proficiency in payroll software and Microsoft Excel.
  • Strong understanding of payroll regulations, tax laws, and compliance requirements.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.

 Ability to maintain confidentiality and handle sensitive information.

  • Certified Payroll Professional (CPP) or similar certification (preferred).
